Job Description

Senior Administration and Operations Officer

Cowboys Community Foundation

Established in 2015 the Cowboys Community Foundation aims to improve the lives of individuals families communities and the economy through equitable access to education training and employment. As the charity arm of the North Queensland Toyota Cowboys we are committed to supporting the community that supports our club.

About the Role

We are seeking a Senior Administration and Operations Officer to play a vital role in supporting the overall functions of our Charity. This is not your average admin gig. Youll be at the heart of the charitys daily operations supporting the CEO and Executive Team coordinating cross-departmental logistics managing inventory fine-tuning systems and keeping everything running like clockwork.

Think high-level diary management one minute community request tracking the next followed by preparing board-level documents ordering program shirts or supporting a charity event all in a days work.

Key Responsibilities

  • Provide comprehensive administrative support to ensure seamless operation of fundraising and program activities.
  • Support the CEO and senior staff in developing and implementing operating procedures.
  • Manage calendars travel logistics for CEO and executives.
  • Email inbox management engage with stakeholders and the community via phone email and post.
  • Coordinate community requests and inventories.
  • Supporting reporting presentations and partner documentation
  • Support the implementation and use of CRM platforms and data management support for programs and fundraising
  • Assist in event planning and execution including charity auctions and fundraising activities.
  • Maintain inventories of general merchandise collateral program shirts auction items and raffle prizes including ordering stock checks and distribution activities and other registers to ensure legislative compliance.
  • Event support from planning through to delivery.
  • Juggling deadlines details and departments with grace and grit.
  • Identify areas for process improvement and develop solutions to streamline operations.

Qualifications and Experience:

  • Cert IV or Diploma in Business Administration (or equivalent experience).
  • Minimum 5 years experience in high-level administration operational support or project management.
  • Advanced experience with Microsoft Office suite and CRM systems.
  • Supervisory experience or capability to manage an administrative trainee.
  • Excellent interpersonal and stakeholder management skills.
  • Exceptional organisational skills youre a next-level multitasker.
  • High-level discretion professionalism and initiative.
  • Bonus: Experience supporting executives or managing projects.
  • Bonus: Experience in a community fundraising or events setting.
