Job Description

Title: Operations Associate

Location: Bend OR

Job Type: Fulltime

Position Summary:

The Operations Associate is an integral part of our team. This position blends operational excellence with client service and thoughtful relationship management. You will be responsible for preparing paperwork managing our database scheduling meetings planning office events and elevating overall client experience.

Qualifications:

We are looking for someone who:

  • Demonstrates professionalism integrity and discretion with client information
  • Highly organized with the strongest attention to detail
  • Is warm service-oriented and enjoys building meaningful relationships
  • Communicates effectively both verbally and in writing
  • Comfortable with technology
  • Has emotional intelligence and a client-first attitude
  • Enjoys working as part of a team

Education & Experience:

  • Bachelors degree preferred
  • Proficiency in data entry and document management preferred
  • Experience with DocuSign preferred

Key Responsibilities:

Client Support

  • Prepare client paperwork and ensure accuracy and onboarding completion
  • Lead on phones and texts/SMS messages
  • Respond to administrative client inquiries promptly and accurately
  • Manage calendars and schedule client meetings
  • Ensure CRM data integrity and maintain client records

Office Events:

  • Coordinate team events including but not limited to volunteering in community office parties client events and general community participation.
  • Assist in development of program and event coordination.

Technology & Process Improvement:

  • Develop fluency in firm tech platforms (CRM Schwab custodial systems)
  • Support firm-wide training and process improvements
