Job Description

We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our finance staff. The ideal candidate will have a strong background in accounts payable processes within the manufacturing industry with specific experience handling sales and use tax W-9 forms and manufacturing exemption certificates. This position is primarily performed remotely with weekly trips to our Brookfield office to process checks.

Responsibilities include:

  • Process and verify vendor invoices ensuring accuracy and proper authorization.
  • Prepare and execute payments via checks ACH and wire transfers.
  • Reconcile accounts payable transactions and resolve discrepancies with vendors.
  • Maintain and update vendor records including obtaining and managing W-9 forms.
  • Review sales tax calculations on invoices ensuring compliance with state and local regulations.
  • Manage and validate manufacturing exemption certificates ensuring proper documentation is on file.
  • Assist with month-end closing processes (including accruals cutoff timing etc.) and provide support for audits.
  • Collaborate with purchasing and receiving departments to match purchase orders and receipts as needed.
  • Maintain organized and accurate records of all accounts payable transactions.

Requirements include:

  • Education: Associates degree in Accounting or related field preferred.
  • Experience: Minimum of 2 years of accounts payable experience preferably in the manufacturing industry.
  • Skills:
    • Proficiency in accounting software and Microsoft Office Suite especially Excel.
    • Strong understanding of sales and use tax regulations.
    • Experience handling W-9 forms and manufacturing exemption certificates.
    • Excellent organizational and time-management skills.
    • Attention to detail and accuracy in data entry and financial record-keeping.
    • Effective communication skills for interacting with vendors and internal departments.
