Our team is seeking a Project Coordinator to join our team and support the coordination of the AtoZ program and its project. This position will provide coordination support to the AtoZ Arizona Program Manager/Product Owner and the Project Manager. This role will be instrumental in facilitating effective communication managing program logistics and ensuring the smooth operation of program activities.
Key Responsibilities:
-Schedule and coordinate meetings for the Program Manager/Product Owner and the project team.
-Assist the program manager and project manager in the preparation of meeting agendas and distribute them in advance of meetings.
-Attend meetings capture detailed and accurate notes and distribute meeting minutes.
-Track monitor and follow up on action items ensuring timely completion.
-Compile and summarize reports presentations and other program documents.
-Interface and communicate with program stakeholders.
-Assist in the development and maintenance of program documentation including schedules plans and reports.
-Support the Project Manager in project-related tasks such as tracking progress managing resources and coordinating project activities.
-Proactively identify and address potential issues or inefficiencies in program operations.
-Elevate issues to the attention of the program manager or project manager as appropriate.
-Document lessons learned and other project and program related documents.
Required Qualifications:
-Proven experience in a project support role.
-Excellent communication skills both verbal and written.
-Strong organizational and time-management skills.
-Ability to think critically take initiative and work independently.
-Proficiency in Google Workspace and project management type software (such as Jira Smartsheet etc.).
-Exceptional attention to detail grammar and spelling.
-Ability to summarize complex information clearly and concisely.
Preferred Qualifications:
-2-3 years of experience in project coordination or program support
-Google Workspace
-Experience with IT projects
-Project Management software like Jira or Smartsheet
-Agile Experience
-Certified Associate in Project Management (CAPM) or similar certifications a plus but not required
