Job Description

JOB TITLE: ACCOUNTING SPECIALIST ACCOUNTS PAYABLE

FLSA STATUS: NON-EXEMPT

BENEFITS STATUS: FULL-TIME (12 MONTHS)

SALARY (MONTHLY): $3213 - $3514 5% LOCAL SUPPLEMENT





GENERAL STATEMENT OF JOB

Under limited supervision performs various responsibilities in the Finance Department with the primary responsibility being all aspects of Accounts Payable. Reports to the Chief Finance Officer.

DUTIES AND RESPONSIBILITIES

ESSENTIAL JOB FUNCTIONS

  • All aspects of the Accounts Payable function for the school district including but not limited to:
    • Matches invoices with completed purchase orders
    • Enter invoices for weekly check runs
    • Verify invoice numbers and amounts on invoices due list each week
    • Project cash needs and request cash
    • Print payable checks and prepare for mailing
    • Process ACH transfer for employee reimbursements
  • Prepare journal entries as needed
  • Enter month-end adjustments from payroll
  • Print direct deposit and closing entry checks.
  • Runs monthly sales tax due report reconcile report print check and mail to NCDOR by the monthly deadline
  • Work with school secretaries and administrative assistants for completion of purchase orders and needed invoices
  • Backup for other positions in the department

ADDITIONAL JOB FUNCTIONS

  • Print school nutrition payable and sales tax checks
  • Reconcile Walmart and Sams Club credit statements
  • Review all payable statements and research any past due invoices
  • Assists auditors as needed
  • Work with vendors and help with inquiries
  • Prepare quarterly NC Withholding for Non-Resident Contractors and remits payment to NCDOR
  • Performs other related duties as assigned by the Finance Officer



MINIMUM TRAINING AND EXPERIENCE

Associates Degree in business accounting finance or related field and proficient computer skills or any equivalent combination of education training and experience that provides the knowledge skills and abilities required to perform the job functions.

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

Physical Requirements: Requires light physical work. Must be able to lift mail and boxes up to ten pounds. Must be able to sit at a computer for extended periods of time.

Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information.

Language Ability: Requires the ability to read simple forms. Requires the ability to prepare time sheets and supply requisitions using prescribed format.

Intelligence: Requires the ability to apply common sense understanding to carry out instructions furnished in written or oral form.

Verbal Aptitude: Requires the ability to record and deliver information to explain procedures to follow oral and written instructions. Must be able to communicate effectively and efficiently in standard English.

Numerical Aptitude: Requires the ability to utilize mathematical formulas to add subtract divide and multiply.

Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using a computer.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under moderate levels of stress.

Physical Communications: Requires the ability to talk write and hear.

KNOWLEDGE SKILLS AND ABILITIES

  • General knowledge of standard office procedures.
  • High level of knowledge in computer operations with ongoing in-service training.
  • Working knowledge of general office equipmen.
  • Ability to demonstrate proper telephone etiquette.
  • Ability to communicate effectively and politely with all levels of employees.
  • Ability to attend to details necessary to complete forms properly.
  • Ability to maintain confidentiality.
  • Ability to work without supervision.
  • Ability to exercise independent judgment and initiative in completing work assignments.
