Business Overview

As part of the broader Commercial Group the Governance Team helps to drive and deliver onbest practice governance processes and principles across IFM as we collectively pursue our purpose values strategy and culture. Areas of responsibility include managing the IFM Board and Committees corporate entities and structure Know Your Customer (KYC) counterparty requests Delegations of Authority and providing trusted governance advice across the business.

The Role

Reporting to the Assistant Company Secretary this role involves providing administrative support to the Company Secretary and Secretariat function ensuring high-quality work under competing deadlines and engaging with various stakeholders. It includes coordinating meetings formatting agendas and papers updating governance registers and intranet pages travel arrangements and other ad hoc projects.

  • Deliver high-quality work under competing deadlines as directed by the Assistant Company Secretary.
  • Engage effectively with stakeholders across the business to include Executive Assistants and Senior Management.
  • Coordinate calendar meeting invites and check availability across different time zones.
  • Ensure documents are filed appropriately in accordance with Company Secretariat record management guidelines.
  • Assist with creating books and uploading papers to the board portal Diligent.
  • Contribute to the continuous improvement of secretariat procedures.
  • Comply with all policies and complete compliance training.

Your Background and Experience

  • Strong administrative skills attention to detail and experience in high work volume environments.
  • Strong communication organizational and time management skills with the ability to work autonomously and discreetly.
  • Business or administrative qualification with an understanding of administrative service principles and company secretariat functions.
  • Proficient in Outlook MS Office and MS Teams and a willingness to learn other governance software.
  • Effective communicator with proven problem-solving abilities under competing deadlines.
