Job Description
As a Facilities and Admin Assistant youll manage the day-to-day operations of the office from welcoming guests and coordinating vendors to keeping the workspace running like clockwork. You ll be the center of calm ensuring smooth logistics cleanliness and timely support where it s needed most.
Job Overview
Employment Type: Indefinite Term Contract
Shift: Monday to Friday 08:00 AM - 05:00 PM (CO Time)
Work Setup: Onsite Bogot
Your Daily Tasks
Front Desk & Admin Support:
- Greet visitors manage entry logs and keep the reception area clean and functional
- Handle phone and chat inquiries; redirect them to appropriate departments
- Respond to staff and client facility concerns
Facilities & Logistics:
- Maintain and monitor inventory of supplies pantry items and office furniture
- Oversee procurement receipts and vendor coordination
- Manage meeting room bookings setups and basic IT needs
- Coordinate IT asset dispatch and recovery
- Track asset logistics and related costs
Reporting & Compliance
- Submit monthly reports (petty cash gift cards supply usage etc.)
- Implement and monitor health safety and sanitation standards
- Ensure compliance with internal systems and vendor protocols
Requirements
The Qualifications We Seek
- Graduate of Hospitality Business Administration Tourism Logistics or similar field
- 1 3 years of relevant experience in office administration or facilities support
- Proven experience in vendor management procurementb and logistics
- Must be organized solution-oriented and have a pleasing personality
- Experience in travel logistics office setup and employee support is a plus
- English proficiency is a plus but not required
- Strong attention to detail and ability to work independently
- Excellent follow-through on tasks
