Job Description

JOB GOAL:

Under direction performs highly responsible confidential and complex administrative assignments for Little Rock School District Chief Human Resources Culture and Compliance Officer.

TERMS OF EMPLOYMENT:

Twelve-month contract (245 days) Plus Benefits Package NOTE: Precise placement on the salary schedule will be determined based upon experience. Salary Range 114: $43468 $75526FLSA: Non-Exempt

QUALIFICATIONS:

  1. Bachelors Degree required and a minimum of five years of professional experience in Executive Assistant level work is preferred.
  2. Advanced oral and written communication (communicating to individuals in a wide variety of situations) interpersonal (Must be able to work in a team atmosphere. Must exhibit a professional behavior that enhances productivity and promotes teamwork and cooperation. Grooming and dress must be professionally appropriate) time management (prompt/consistent attendance is required and willingness to work extended hours when needed). Must be a problem-solver and able to prepare complex reports and presentations.
  3. Working knowledge of accounting budget systems and business processes.
  4. Advanced computer skills with the ability to logically troubleshoot simple to complex technical issues are essential. Must be highly proficient in Microsoft Office and Google Suite. Proficiency in eFinance is preferred.

ESSENTIAL DUTIES & RESPONSIBILITIES:

The following statements of duties and responsibilities are intended to describe the broad scope of work being performed by individuals assigned to this position. These statements are not intended to be an exhaustive list of all duties and responsibilities required of all personnel within this position.

Executive Assistant Role:

  1. Provide executive assistance and support to the Chief Human Resources Culture and Compliance Officer (CHRCCO). Prioritize incoming information and sort selected correspondence addressed to the CHRCCO. Ensure the CHRCCO is up-to-date and informed. Assist the CHRCCO with planning and preparing reports publications and communications.
  2. Process correspondence and e-mails; create and produce newsletters and other documents independently for the CHRCCO. Keep the CHRCCO apprised of potential problems and possible solutions/resolutions.
  3. Facilitate and manage the consistent operation of the office. Coordinate the offices workflow and schedules and make recommendations regarding office efficiency to CHRCCO.
  4. Assist with research gather input develop and monitor the districts staffing allocation model. Work collaboratively on the office budget purchase card accounts Integrated Financial Systems and bookkeeping.
  5. Assist with communication and ensure all personnel and departments are informed of pressing issues. Work with staff in emergency situations.
  6. Maintain confidentiality serve as the liaison between the HR team and maintain accurate and current records. Process employment verifications and student loan forgiveness paperwork and support the daily operations of HR.
  7. Assist with concerns questions and calls. Screen calls and refer appropriately. Answer inquiries and offer assistance/resolutions. Anticipate problems and conflicts and help develop productive solutions.
  8. Assists with the preparation maintenance and submission of board agenda items and personnel recommendations as needed.
  9. Research collect and compile data prepare reports surveys and other materials for the CHRCCO and the HR Department.
  10. Assist with HR Department professional development registration approval process and travel requests as needed.
  11. Perform other duties as assigned.

Human Resources Functions Role:

  1. Cross-training with all Human Resources employees to be Human Resources Network Generalists in licensure employee onboarding compensation conflict management and employee relations.
  2. Assists with accreditation and compliance reporting.
  3. Assists with workers compensation and employee benefits.
  4. Assists with Freedom of Information requests as needed.
  5. Assists with assessing necessary documents for setting compensation placement.

Mental Functions Physical Requirements and Working Conditions:

While performing the duties of this job the employee is regularly required to sit stand walk go up and down stairs operate foot and hand controls use a telephone and write. Occasionally the employee must lift and/or move up to twenty (20) or more pounds. This position requires accurate perceiving of sound near and far vision depth perception handling and working with educational materials and/or objects and providing oral information. Must have the ability to work for the duration of the daily contracted time period and to be physically present and at assigned work with only infrequent unexcused absences during the contract year. Additional technical skills knowledge and abilities may be recommended by immediate supervisor and approved by the Human Resources Director.
