Title: Stewardship and Development Office Assistant

Staff Group:Stewardship and Development

Reports To:Associate Director of Planned Giving

* This position is hybrid. Applicants must be able to work on-site at our Boston headquarters at least 1 day per week.

Purpose

To support the administrative functioning of the Stewardship and Development staff team as a whole and provide administrative support for the Director of Stewardship and Development and the Legacy Giving team.

Principal Responsibilities

  1. Schedules team meetings taking and distributing meeting notes and capturing action items and next steps.
  2. Monitors general phone line and email for the Stewardship and Development staff team. Responds to constituent inquiries when possible or re-directs to an appropriate member of the staff team.
  3. Coordinates special projects as needed. Special projects may include coordination of an annual holiday card mailing updates to Stewardship and Development web pages design assistance coordination of staff coverage during winter break or at UUA General Assembly.
  4. Provides event and meeting support as needed. Event support may include invitation design RSVP management invitation or follow-up calls on-site support (e.g. staffing welcome tables) and/or preparation of materials.
  5. Orders supplies for the Stewardship and Development staff team and handles other general administrative matters relevant to the entire team as needed.
  6. Provides administrative support to the Director of Stewardship and Development. Responsibilities include managing the Directors calendar coordinating travel plans preparing agendas and meeting notes for meetings led by the Director of Stewardship and Development.
  1. Enters donor notes and contact information into the UUAs Constituent Relationship Management (CRM) tool on behalf of the Director of Stewardship and Development or other members of UUA senior leadership.
  2. Provides general administrative support for the legacy giving team including mail processing document scanning and invoice and payment processing.
  3. Completes data entry and performs data maintenance tasks related to legacy donors and their gifts.
  4. Performs administrative tasks related to the settlement of estate gifts (bequests) the UUA has an interest in. Coordinates with our partner bank on the administration of the UUAs life income gift program.
  5. Assists in preparing legacy giving marketing materials including direct mail email and website. Prepares correspondence in response to legacy giving inquiries from donors and congregations.
  6. Assists in preparing reports on named scholarship and other restricted funds.
  7. Provides special project support for the Legacy giving staff team including document and data migration.
  8. Provides sabbatical/leave coverage for other members of the Donor Engagement or Legacy staff teams as needed.
  9. Performs other duties as requested by supervisor Director of Stewardship and Development the Executive Vice President or the President.

Qualifications

This is an exempt position with a salary midpoint of $52100. Compensation may vary based on factors such as experience qualifications and geographical location with offers potentially ranging from 10-15% higher or lower than the midpoint. Note that qualifications may be met as a result of lived experience volunteer work professional experience and/or formal or informal training. Requirements include:

  • Applicants should be able to work well both independently and as part of a team and must have demonstrated project management skills. Must be able to build relationships with a wide variety of individuals and audiences graciously and manage sensitive confidential information with attention to detail.
  • Excellent interpersonal oral and written communication skills customer service skills and comfort with basic math are expected.
  • Enthusiasm for fundraising and the mission of the Unitarian Universalist Association are required. Direct experience with Unitarian Universalism or legacy giving are helpful but not necessary.
  • Ability to manage and prioritize multiple projects and priorities.
  • Our ideal candidate will be proficient in the use of the Microsoft Office Suite (Excel Outlook PowerPoint and Word). Must be familiar with (or willing to learn and use) Constituent Relationship Management (CRM) tools and Canva or other design software.
  • Understanding of issues around anti-racism anti-oppression and multiculturalism
  • Work or lived experience with BIPOC communities is of particular value
  • Eagerness to work in an organization in which the dismantling of white supremacy is a high priority
