Job Duties
Provide comprehensive administrative and program support to the team ensuring that all legal processes are handled efficiently accurately and professionally.
Oversee and assist in managing a team that handles cases from start to finish ensuring proper documentation timely processing and adherence to relevant guidelines.
Review case materials including documentation and files to ensure accuracy and proper handling of each matter.
Maintain detailed records and logs to track progress and status ensuring timely updates and communication.
Identify organize and distribute relevant documentation to the appropriate team members or legal staff ensuring all materials are properly filed and accessible.
Conduct quality control audits to ensure accuracy and efficiency promptly addressing any issues or trends that may affect workflow.
Assist with scheduling rescheduling or canceling hearings and respond to inquiries from various parties providing support as needed.
Ensure all actions comply with confidentiality and regulatory requirements. As needed assist with other administrative duties to support the teams overall operations.
Minimum Qualifications
Basic knowledge of legal terms and concepts ensuring proper use in documents and communications; court rules filing procedures and legal formalities; and adjudication processes and procedures.
Strong analytical decision-making time-management oral and written communication supervisory and computer (data entry scheduling word processing and data retrieval) skills.
Ability to review and analyze legal documents; conduct research to assist in the identification of issues and document retrieval; ensure appeals requests are processed timely; prepare proofread and edit documents; adapt to new computer systems and processes; follow established policies and protocols; maintain confidentiality and file documentation; work independently and as part of a team; supervise manage and mentor staff; and conduct reviews to recommend process improvement strategies.
Additional Considerations
Experience working with UI programs particularly related to the UI appeals process; supervising staff providing clerical /administrative support; working in a legal and fast-paced environment; and reviewing and retrieving case documents.
Paralegal certification (e.g. Certified Paralegal or National Association of Legal Assistants).
