Job Description

QUALIFICATIONS:

  • Bachelors Degree or higher preferred
  • School finance experience preferred
  • Experience in Google Suites preferred

REPORTS TO: Director of Special Education

JOB GOAL: To complete the detail and written work and to coordinate other matters essential to the efficiency and effectiveness of the office of Special Education.

PERFORMANCE RESPONSIBILITIES:

  1. Prepare and organize all documents and files for state and federal audits.
  2. Attend meetings with the Director and take minutes upon request.
  3. Attend school board meetings and assist the Director upon request.
  4. Perform all bookkeeping requirements for special education department accounts including all schools that are allocated these funds.
  5. Perform all secretarial duties necessary to the Special Education Department (memos to all school special education teachers principals assistant principals and counselors and maintain files).
  6. Develop type and duplicate forms for the department.
  7. Answer phones and take messages for special education personnel and other instructional personnel as needed.
  8. Respond to phone calls and emails in a timely manner.
  9. Assist with the assessment of building facility needs and submit building work orders.
  10. Ensure that reports from schools are submitted on time and follow up when necessary.
  11. Make sure all invoices are coded appropriately and obtain the signature of the Director for payment. Make copies and route to the proper department for payment.
  12. Order and arrange delivery for supplies to schools and special education department.
  13. Maintain and replenish general office supplies for the department.
  14. Record process and submit payroll for personnel in the Special Education Department location and for the Homebound Instructors.
  15. Complete forms reports and payroll for the Extended Year Program.
  16. Process record copy and submit travel for all special education personnel.
  17. Process approved travel requests.
  18. Set up mailboxes for special education department personnel.
  19. Open time stamp and distribute mail for the Special Education Department.
  20. Sort and route boxes to the mailroom for delivery to schools and pick up all boxes from the mailroom delivered to the Central Office for the Special Education Department.
  21. Contact schools parents and other district personnel when necessary to complete required tasks.
  22. Make appointments for evaluations when necessary.
  23. Schedule interpreters for schools when needed.
  24. Ensure that all supplies and materials for professional development are ordered.
  25. Ensure that professional development rooms and locations are set up and maintained.
  26. Contact presenter(s) regarding needs and process necessary arrangements.
  27. Maintain an inventory of all building and district supplies and fixed assets.
  28. Perform duties for Homebound Programs.
  29. Keep itinerary for Special Education Department personnel.
  30. Be available to help other secretaries anytime and crosstrain with other clerical positions within the department.
  31. Work extended hours upon request and approval.
  32. Participate in professional development both in and out of district.
  33. Maintain Confidentiality.
  34. Maintain consistent communication with the Director.
  35. Maintain a courteous and respectful dialogue with staff and parents.
  36. Report to the central office or other alternative work location when directed.
  37. Assist with any requirements for MOUS and vendor services.
  38. Perform other duties as needed.

TERMS OF EMPLOYMENT:

Salary Range: Range 6 - Support Staff Hourly Salary Schedule ($12.94/hr - $24.81/hr depending on relevant experience)

Length of Contract: 244 contract days

FLSA Status: Non-Exempt

Personnel Status: Classified

Benefits Eligible: Yes

EVALUATION:

Performance of this job will be evaluated according to provisions of the Boards policy on Evaluation of Support Staff personnel.
