The Student Accounts Manager a crucial role in our Business Office applies expertise in financial and technical systems playing a vital part in assisting students to achieve their academic goals.
ESSENTIAL FUNCTIONS - Manages student accounting records and ensures the accurate and complete billing of incurred charges to students. This includes setting up billing tables reviewing miscellaneous charges coordinating fee approval with the state managing refund exceptions and reviewing charges created by other integrated systems.
- Assists with reconciling outstanding warrants by researching uncashed checks and resolving reissued check requirements to ensure timely receipt of funds.
- Establishes and manages payment channels for education-related expenses and oversees refund cash receipts and bank deposit operations/reconciliations.
- Provides leadership mentors and supervises staff; motivates and empowers staff to create environments that promote innovation; sets standards for excellent customer service.
- Works closely with the Office of Financial Aid to ensure the timely application of financial aid to students accounts. This includes proactive development and addressing of college policies/procedures to address student financial challenges and finding satisfactory resolutions.
- Works with federal state and local agencies to coordinate student bookstore awards (VA Job Corps Job Service private corporations) and manages associated account charges. Prepares appropriate invoices and reconciles payments and charges.
- Prepares and submits tax forms in a timely manner. Applies annual IRS changes to the 1098T Student Tuition form in accordance with the qualified educational expenses for each student.
- Performs special accounting and reporting required for audits of federal funds including submitting outstanding delinquent accounts to the Montana Department of Revenue.
- Oversees student delinquent accounts collections and coordinates outreach efforts. Manages student-related third-party invoicing related to the collection processes.
- Works closely with the Financial Aid office to ensure the timely application of financial aid to students accounts. Proactively addresses student financial challenges and finding satisfactory resolutions.
- In collaboration with the Financial Aid office ensure all federal funds disbursements comply with U.S. Department of Education regulations. Maintains procedures for efficient student refund processing.
- Ensures accountability of daily deposits following departmental guidelines and performs various audits of deposits and supporting documentation.
- Ensures that all cash handling complies with campus state and federal regulations.
- Provides training to colleagues on the student account system. Looks for efficiency and effectiveness in business system processes. Identifies issues that arise and proactively addresses them with thorough analysis.
- Completes monthly general ledger account entries to keep the accounts receivable asset account current and accurate with detailed supporting documentation. Prepares annual year-end financial statements on A/R for submission to an independent auditor.
- Culls relevant data out of information systems to create management dashboards to help with decision making related to tuition increases enrollment patterns delinquent accounts etc.
- Works closely on programmatic financial and compliance matters including invoicing for special events workshops and facility rentals.
- Establishes and initiates effective and timely communications to ensure the sharing of information.
- Participates actively and with initiative in continuous improvement efforts to provide efficient and quality student and business services
- Researches analyzes and resolves issues that arise in financial systems and addresses them proactively.
- Serves on various college committees and teams; meets with other college personnel for events projects planning idea sharing issue resolutions operational communications professional development etc.
- Remains current in practices trends and research related to areas of assignment
- Attends related trainings workshops and professional development
- Cross-trains to perform other departmental and team functions; backfills for staff as needed
- Actively participates in developing a climate that promotes and supports innovation and efforts to continuously improve services to students faculty and the College.
- Creates and maintains a collaborative and collegial environment with colleagues and maintains effective working relationships
- Maintains professional ethics and confidentiality of students by applicable laws and policies
- Advances the mission of FVCC by serving on or convening committees and contributing to the community in college-related activities.
- May serve as an internal auditor for various Financial Aid processes reconciliations and procedures to ensure compliance with federal and state regulations.
- Performs other duties as assigned

MINIMUM QUALIFICATIONS - Bachelors degree AND two years of related work experience OR
- Associates degree AND four years of related work experience OR
- High School degree or equivalent AND six years of related work experience OR
- An equivalent combination of higher education courses and related work experience
KNOWLEDGE SKILLS AND ABILITIES - Strong interpersonal skills communicating with students staff and faculty
- Knowledge of technology used in an educational environment
- Proficient computer skills and basic understanding of student information and database systems.
- Ability to work within the policies and procedures of FVCC
- Ability and willingness to serve as an ambassador for the College by interacting appropriately with the college community and the community
- Ability to maintain effective and positive professional relationships

- This is a Medium Duty job according to the Selected Characteristics of Occupations Defined in the Revised Dictionary of Occupational Titles U.S. Department of Labor and Industry. Medium Duty involves exerting 20-50 pounds of force occasionally and/or 10-25 pounds frequently and/or up to 10 pounds continuously to move objects.
