Job Description

  • SenecaMiddle School

  • 6:45am-3:15pm
  • Paygrade 3- $19.24/hr
  • 217 days
  • Replacing Maureen LaFleure

Position Summary

Performs a wide variety of clerical support services to facilitate the efficient operation of the middle school main office while maintaining confidentiality.

Duties and Responsibilities

(These duties and responsibilities are judged to be essential functions in terms of the Americans With Disabilities Act or ADA)

  • Maintains student records.
  • Maintains immunization and other health records.
  • Process student registrations.
  • Maintains processes updates and verifies student attendance records and enters data into school computer systems.
  • Accesses the attendance telephone line documents and monitors student attendance and approves releases from school and issues passes; logs daily absences and tardies retrieved from phone calls teachers etc.
  • Process purchase orders and order supplies using the E-catalog system.
  • Schedule and process building use requests.
  • Dispense student medication.
  • Assist in maintaining the master schedule.
  • Assist in preparing school correspondence ie. Parent teacher conferences locker assignments book finds etc.
  • Creates student programs awards certificates newsletters etc.
  • Schedule internal teachers to sub for emergencies/meetings.
  • Operate office machines such as photocopiers scanners computers printers calculators facsimile machines voicemail systems and telephones.
  • Communicate with customers employees students and other individuals to answer questions disseminate or explain information and address complaints.

Education:

This position requires high school diploma or equivalent.

Experience:

  • One year of related experience providing clerical support in an office setting preferred.

Knowledge:

  • Knowledge of basic math required.
  • Knowledge of principles and processes for providing customer services required.
  • Knowledge of administrative and clerical procedures and systems such as word processing spreadsheets managing files and records designing forms and other office procedures required.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words rules of composition and grammar required.

Abilities:

  • Ability to read and interpret district policies guidelines handbook and government regulations required.
  • Ability to write routine reports and correspondence required.
  • Ability to interpret a variety of instructions furnished in written oral diagram or schedule form required.
  • Ability and willingness to learn different software systems required.
  • Ability to multi-task meet deadlines and work in a fast paced work environment required.
  • Ability and willingness to work cooperatively with teachers community students and staff required.

  • Word processing 40 wpm required

  • Spreadsheet programs preferred
  • AS400 required

Physical Demands

While performing the duties of this job the employee is regularly required to sit use hands to finger handle or feel; talk and hear. The employee is occasionally required to stand; walk; reach with hands and arms; and stoop kneel crouch or crawl. The employee must occasionally lift and/or move up to 30 pounds of files and materials etc. Specific vision abilities required by this job include close vision and ability to adjust focus especially due to concentration on a computer screen and small numbers.

Work Environment

The noise level in the work environment moderate to loud.
