The Malden Public Schools (MPS) is a richly diverse school district located within the Greater Boston area and accessible by the MBTA orange line train. Maldens student body comprises approximately 6800 students who represent 59 different countries and speak 67 different languages. We have 1 early learning center 5 K-8 schools and 1 high school. Summary
The Human Resources Coordinator serves a critical role in all HR functions (hiring onboarding leaves/FMLA staff attendance separations evaluations customer service etc) and the organizational and operational work of the HR office. This position serves as the primary point of contact with current and future educators. Reports to the Assistant Superintendent of Human Resources.
Duties and Responsibilities:
District Point of Contact for HR matters
- Assist current and former employees and applicants with general inquiries and/or concerns whether communicated via electronic mail telephone or other means.
- Answer calls to the HR office maintaining a respectful professional and kind demeanor
- Carefully document inquiries and concerns relayed and forward communications to Assistant Superintendent
- Notify the Assistant Superintendent when follow-up is needed to resolve the issue reported
- As needed provide responses and follow up to educators and applicants
Coordinate Hiring Processes
- Oversee the daily operations of the Office of Human Resources including but not limited to:
- Attending to day-to-day clerical needs
- Including adjusting daily staff attendance
- Managing phone calls and correspondence (including electronic mail)
- Maintaining a current organized and secure filing system
- Process and onboard new hires including:
- Sending out hiring packet
- Conduct background checks (CORI/Fingerprinting)
- Review resume for compensation determination
- Review of relevant licensure
- Creating/updating documents as needed to support the work of the Assistant Superintendent and the HR processes
- Posting and processing stipend opportunities
- Posting job descriptions and screening applicants
Related Duties and Responsibilities:
- Attend meetings as needed assisting in the preparation of the agenda maintaining notes for the reference of principals directors and other staff and ensuring that all needed materials are ready for use

Qualifications:
- Successful experience as an administrative coordinator Required (experience in urban public-school settings strongly preferred)
- Associates degree in a related fieldRequired (Bachelors degree very desirable)
- Demonstration of exceptional English communication skills (both verbal and written); proficiency in one or more languages other than English very desirable
- Experience working with municipal HR departmentsPreferred
- References affirming the candidates strong organizational capacity and effective interpersonal and customer service skills
Demonstrated technical proficiency in:
- Microsoft Office and/or Google Office suite and Google drive Required
- Familiarity with or willingness to learn the professional use of social media to support organizational objectives
Reports To: Assistant Superintendent of Human Resources
Terms of Employment:
- Full time twelve-month (12) work year. Salary to be negotiated with the Superintendent of Schools; benefits as established for all administrative positions.
- Performance-based evaluation and compensation in accordance with School Committee policy.
