We are seeking a highly organized and detail-oriented individual to support a local small business owner. The successful candidate will handle a variety of administrative tasks to ensure the smooth operation of both businesses. This role requires excellent communication skills the ability to multitask and a customer service-oriented approach. The successful candidate will have frequent communication with bank officials CPAs and department managers as needed. Summary of duties Banking: - Online banking and ACH deposits and payroll
- International wire transfers
- Multi-account monthly statement reconciliation
Payroll: - Weekly payroll processing
- Tax reporting & payments (Federal State and Local)
- Year-end W2 and any related year end reporting
Accounts Receivable: - Monthly customer billing - Quickbooks
- Timely journal entries
- Inventory management - Excel
Accounts Payable: - Timely bill payment
- Monthly credit card reconciliation
Financial Statements: - YTD and current comparisons
- P&L statements
- Balance sheets
- Excel data reporting
- Data analysis
- Ability to explain variances
- Year-end close
Rental Reservation System - VRBO and Lodgify
- Accurately maintain calendar
- Monitor and record guest deposits when due.
- Invoicing
- Customer targeting through websites
Minimum Requirements: - 5 years office management. Multi business operation preferred.
- 3 years AR/AP with account reconciliation.
- Creating balance sheets and P&L statements.
- 2 years of payroll and tax filing.
- Strong Excel skills.
- Strong Quickbook skills 3 years.
- CYMA experience preferred.
- Vacation rental property administration and international banking preferred.
- Excellent organizational and communication skills.
