Title: Executive Assistant
Shift Timings: Mon Fri (8 am - 5 pm)
Duration: 13 Weeks
Pay Rate - $28- $35/hr on W2
Location: Burlingame CA 94010
Job Summary:
We are seeking an experienced and professional Executive Assistant to provide comprehensive high-level administrative support to senior leadership.
This role requires independent judgment discretion and a proactive approach to managing schedules coordinating communications and supporting strategic priorities.
The ideal candidate is organized resourceful and capable of handling a variety of confidential and time-sensitive tasks.
Key Responsibilities:
Deliver specialized administrative support to executive leadership including calendar management meeting logistics and communications.
Coordinate complex scheduling needs travel arrangements and events logistics.
Screen calls emails and incoming requests; prioritize and handle inquiries with professionalism.
Draft edit and format documents including memos reports presentations and internal communications.
Attend meetings take detailed notes and track follow-up items to ensure timely completion.
Develop and maintain databases records and filing systems.
Act as department timekeeper and support payroll/timekeeping system entries when needed.
Ensure smooth communication and coordination within and between departments.
Handle sensitive information with a high degree of confidentiality and discretion.
Required Qualifications:
Minimum of 5 years of recent experience supporting executive-level leadership.
Advanced proficiency with Microsoft Office Suite (Outlook Word Excel PowerPoint) and virtual meeting platforms (Zoom Teams etc.).
Proven ability to manage multiple competing priorities in a fast-paced environment.
Strong written and verbal communication skills.
High level of professionalism and discretion when handling confidential information.
Strong organizational problem-solving and decision-making skills.
Experience with administrative tools scheduling software and timekeeping platforms.
Preferred Qualifications:
Previous experience in a large corporate or healthcare environment.
Familiarity with Workday or similar enterprise resource systems.
Full Time
