Job Description

SAITs Applied Research and Innovation Services department helps partners conceptualize prototype and deliver products to market. ARIS is on the leading edge of novel technology development. As one of Canadas top applied-research colleges SAIT has 50000 square feet of specialized research labs facilities and full-time research staff who are solely dedicated to providing the services organizations need to take their products from concept to prototype.

The Opportunity

An exciting opportunity exists to join the ARIS team in the role of Service Administrator. SAIT is seeking a professional customer-focused individual to provide comprehensive administrative and operational support to facilitate the smooth and efficient functioning of applied research activities within the department and SAIT.
The Service Administrator primarily supports the team with administrative tasks and operational support of the facilities managing departmental records coordinating meetings and events and communicating with internal and external stakeholders. The Service Administrator also plays an important role helping to promote the work of ARIS and the industry we serve through communications with industry partners and students connecting them with SAITs expertise and resources for applied research and project development.

The Role

    • Administrative Responsibilities
    • Provide a professional service-focused presence at ARIS to clients visitors and colleagues general inquires. This position is primarily situated within the ARIS office.
    • Facilitate efficient and effective interactions between our teams industry partners students and other stakeholders
    • Manage departmental correspondence including emails memos and official letters.
    • Process purchase order requisitions and invoices inquires when required
    • Other as necessary
    • Operational Responsibilities
    • Offer general office support including procuring office supplies and resource materials compiling information packages and folders processing office expenses and communicating with SAIT custodial and maintenance staff
    • Assist with proactive identification and timely action to address office supplies that need replenishing or maintenance related items that require action to promote a safe environment
    • Assist with the identification and development of new processes or tools that improve productivity within the team
    • Assist with meetings including:
    • Develop agendas and minutes internally and externally as required including with researchers management and industry clients to aid in the development of applied research proposals and contracts
    • Book meetings manage travel itineraries and place catering orders
    • Take meeting minutes
    • Maintain accurate confidential electronic and paper files to help track operations to facilitate project management procedures and compliance with SAIT policies and procedures
    • Contribute ideas and energy towards ensuring our office environment reflects SAITs values of Fairness Integrity Respect Safety and Transparency
    • Proposals and Report Writing
    • Assist with funding applications funding reports industry letters of support award nominations and grant reporting metrics when required
    • Provide quality review in regard to proof reading formatting and consistency of presentations proposals and reports
    • Promotional Responsibilities
    • Attend and/or coordinate networking opportunities including tours presentations media interviews and support industry events and memberships in industry organizations
    • Format design and create/edit documentation (letters information sheets application forms guidelines certificates policies procedures presentations and newsletters)
    • Coordinate event opportunities including catering setting up table and display registrations distributing promotional materials liaising with event attendees
    • Represent SAIT at onsite and offsite events and work with management to ensure ARIS event commitments are staffed sufficiently
    • Monitor and organize upcoming promotional opportunities

Qualifications

    • Minimum Required
    • Related degree or diploma i.e.: Business Administration or Office Management or suitable working experience in the duties as specified
    • Minimum 3 years experience in an office environment demonstrating organizational and administrative skills
    • Demonstrated Proficiency in Microsoft Office suite desktop and Office 365 versions especially Word Excel PowerPoint and Outlook. Database experience will be considered an asset but not necessary.
    • Preferred
    • Diploma and or degree from a recognized university or technical institute
    • 5 years experience supporting teams in an office environment including demonstrated initiative from past experience

    • Outstanding interpersonal skills and ability to positively interact with a variety of personalities
    • Ability to plan and coordinate informational programs and to work effectively with others
    • Strong organizational skills with ability to align objectives to tasks milestones and metrics.
    • Familiarity with project management procedures and administrative documentation
    • Accounting knowledge to accurately create invoices and code expenses is an asset
