Job Description

I. Job Summary

Responsibilities will include pathology billing pathology specimen retrieval from the Operating Room and preparing those specimens to be shipped to SEPA clerical work answering phones and work one on one with the Pathologist. Pathology and Laboratory experience is required. Must be detailed oriented. Perform secretarial duties for the Pathologist and Laboratory Department Head.

II. Duties And Responsibilities

  1. Distributes completed reports to designated areas.
  2. Retrieves previous patient records as needed.
  3. Types various forms and reports for the Laboratory
  4. Types and updates policy and procedure manuals for Pathology and Laboratory Departments.

Additional Responsibilities:

  1. Verifies accuracy of labeling and recording of pathology specimens in 0.R. retrieves and verifies
    receipt of specimens.
  2. Package specimens prepare specimen log and verify receipt of pathology specimens by reference
    lab courier.
  3. Print proof read verify status and distribute pathology reports.

  4. Communicate with reference lab to verify patient information and status of pathology specimens;
    facilitate correction of clerical errors made of pathology reports.
  5. Scan pathology reports and other documents related to patient care into the patients Electronic Medical Record (EMR) and verify documents have been scanned into the EMR.
  6. Maintain files of Pathology reports and related documentation; provide medical records department with pathology reports monthly for review by State auditor.
  7. Responsible for answering the phone professionally receiving relaying messages and answering general questions and referring all other questions to appropriate staff.
  8. Ensures correct coding on documentation and submit to reference lab for billing.
  9. Complies with policies and procedures regarding department operations fire safety and infection control.
  10. Maintains and ensures patient confidentiality at all times.
  11. Complies with all organizational policies regarding ethical business practices.
  12. Completes annual safety infection control and educational requirements.
  13. ls knowledgeable of the mission ethics and goals of the Department.
  14. May participate in Continuous Quality Improvement (CQI) activities.
  15. Maintains inventory of pathology supplies.
  16. Employee authorization for access to EPHI is determined by job function and is under the direction of his/her Department Director.

Employee will be required to be readily available to work during any weather related incidents or other natural disasters and/or emergency situations that may arise.

III. Education

High school graduate with excellent medical and secretarial skills which include typing medical terminology filing and office management.

IV. Qualifications And Experience

A minimum of two (2) years experience in medical secretarial functions. Hospital experience preferred. Must have experience interacting with professional personnel employees and the public.
