Job Description

Responsibilities:

Provides administrative support to the Member Experience Manager and Membership team and contributes as follows:

  • Submits membership departments purchase orders and categorizes expenses through the Museums accounting system and expense tracking spreadsheets.
  • Responds to donation requests of complimentary memberships and guest passes from the community coordinates materials and tracks donations and redemptions.
  • Assists with member events in an administrative and on-site capacity. With guidance from the Member Experience Manager coordinates logistical needs. Acts as representative of the department at some events (some evenings and weekends will apply).
  • In the Museums Event Management Software (EMS) assists with room reservations and resource requests for departmental events internal meetings and related room holdings.
  • Assists with various mailings to members
  • In collaboration with the Member Experience Manager and the Members Lounge Associates assists with the regular ordering payment and management of Lounge supplies and stock.
  • As needed staffs the Members Lounge desk to welcome Members and manage basic Lounge operations.
  • Arranges departments travel including travel for consultants.
  • Answers directs and fields incoming phone calls and emails related to membership queries. Gathers information about constituents from the Museums customer relationship management system (Tessitura) to assist with customer queries.
  • Organizes files of archival materials and collateral for the department of Membership and manages the organizational structure of the departments shared electronic folders.
  • Arranges meetings including coordinating participants room bookings and room set-up.
  • Orders name plates for employees of guest-serving departments as part of the Museums hospitality initiatives
  • Supports the department with a diverse array of special projects. Past special projects have included benchmarking studies with peer U.S. museums and planning department meetings/retreats.

Skills Knowledge and Abilities:

  • Strong clerical organizational and word processing skills (proficient in Microsoft Office Suite especially Word and Excel)
  • Strong spelling and grammar skills
  • Meticulous attention to detail
  • Good communication and interpersonal skills able to conduct well with the public and use good judgment
  • Pleasant and professional telephone email and in-person presence
  • Able to deliver friendly customer service
  • Motivated and able to perform tasks with light supervision

Education and Experience:

  • Bachelors degree in related field; OR any equivalent combination of related work experience and/or education from which comparable knowledge skills and abilities have been achieved.
  • Experience working in an office environment; customer service or hospitality background preferred
  • Previous clerical/administrative support experience
  • Experience navigating a database
  • Experience handling money and confidential personal information
  • Experience with customer relationship management system ticketing or retail system
