Watson Chapel School DistrictSecretary to the Director of Special Education Department: WC Junior High/DistrictJob Status: Full Time FLSA Status: NonExemptReports To: Director of Special Education Grade/Level: ClassifiedAmount of Travel Required: Varies Job Type: Regular Positions Supervised: None Work Schedule: July 1stJune 30th 240 day contract POSITION SUMMARYThis position exists to assist the Director of Special Education in the operation of the Special Education Department by providing the highest level of professional administrative support. This position must perform duties in an accurate professional confidential efficient and timely manner. This position carries the authority to communicate with school districts internal departments principals teachers support staff paraprofessionals local and state agencies as directed by the Director of Special Education. ESSENTIAL FUNCTIONS Reasonable Accommodations StatementTo accomplish this job successfully an individual must be able to perform with or without reasonable accommodation each essential function satisfactorily. Essential Functions Statement(s)Gifted and Talented Teacher/Facilitator Enters all data for special education students in the Special Ed Module and in APSCN PLUS. Responsible for the reporting of Cycle 2 4 and 7 State Reports for Special Education. District contact person for students that are placed in Residential Placement settings. ARMAC Coordinator for the District. Reviews due process paperwork. Collects information from physicians for Medicaid Billing. Collaborates with district Medicaid billing specialist for accurate billing and record keeping. Coordinates with contracted related service providers for scheduling of services. Assists Director of Special Education with Staff Development. Assists Director of Special Education with the budget. Assists Director of Special Education in preparing for State Monitoring. Coordinates transportation needs for special needs students with the Director of Transportation. Maintains a log of all due process paperwork that is received and returned to staff. Maintains an Assessment Accommodation Ledger with the accommodations for StateWide Testing for special education students. Sends the information to the Counselors. Coordinates evaluations with outside vendors such as Pine Bluff Psychological Associates. Maintains the calendar for the Director of Special Education schedules appointments conferences etc. Mails records to a transferring school when a special education student withdraws from WC. Types all purchase orders for the special education department. Maintains all special education records making new files filing all due process paperwork etc. Responsible for entering data in SpedTrack (the program we use for due process paperwork) on students and staff. Other secretarial duties as assigned by the Director of Special Education. A reasonable knowledge of clerical computer filing and office equipment. Computer Skills:Shall be able to demonstrate an acceptable level of proficiency with computers and programs associated with the position. Certifications &Licenses:N/A Other Requirements:1. Successful completion of preemployment background checks.2. Appropriate personal and professional conduct at all times around students staff and the general public. 3. WORK ENVIRONMENTMost work is performed in an indoor office environment. The sound level ranges from very quiet to moderate depending on the activities being conducted.
