POSITION

We are seeking a resourceful and detailoriented Executive Assistant (EA) to provide comprehensive administrative support to our Chief Executive Officer and Home Office team. As the EA you will be responsible for supporting one or more senior leaders managing a wide range of tasks including calendar management travel arrangements and correspondence preparation as well as providing office management support to the Home Office. Additionally this role will involve coordinating schedules and serving as liaison between the CEO and staff and facilitating communication with the broader organization and community.

The EA reports to the CEO. This role demands a strong sense of urgency and the ability to work independently with sound judgment. The ideal candidate is a highperforming fastmoving detailoriented teamplayer.

Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative Support

  • Manage the CEOs dynamic calendar scheduling appointments and coordinating meetings.
  • Prepare expense reports and handle confidential correspondence.
  • Arrange intricate travel plans itineraries and agendas.
  • Compile necessary documents for travelrelated meetings.
  • Act as a gatekeeper facilitating access to the CEO while ensuring efficient time management.
  • Serve as a direct liaison between the CEO and staff conveying the CEOs initiatives and directives.
  • Communicate with the Home Office and broader organization through weekly newsletters.
  • Research prioritize and address incoming issues and concerns maintaining confidentiality when necessary.
  • Determine appropriate actions referrals or responses to various matters.
  • Facilitate smooth communication between the CEO and various business groups.
  • Uphold credibility and trust with senior management through effective leadership.

Board of Directors Liaison

  • Organize and plan Board meetings ensuring logistical and procedural readiness.
  • Communicate with Board members to ensure meeting attendance.
  • Prepare and distribute meeting agendas and materials.
  • Facilitate meeting proceedings inperson and via Zoom platform.
  • Compile and distribute meeting minutes manage video recordings and handle technical requirements.
  • Procure interpreters as needed.

Office Management

  • Attend meetings and webinars taking detailed notes.
  • Manage document filing correspondence and supply ordering.
  • Maintain vendor lists.
  • Coordinate visitor reception at the office lobby.
  • Provide administrative support as needed.
  • Perform other duties as assigned.

CANDIDATE REQUIREMENTS

Qualifications

  • Bachelors degree.
  • 2 years of experience as an office manager or providing administrative assistant to executive leaders or directors.
  • Demonstrated proficiency in Microsoft Office Adobe Suite and Google Suite.
  • Demonstrated proficiency in marketing and social media content management preferred.
  • Bilingual in Spanish or Mandarin preferred.
  • Previous experience in education or nonprofit environments preferred.

Physical Requirements

  • Prolonged periods of desk work and computer use.
  • Motor coordination and finger dexterity for keyboarding and other tasks.
  • Occasional lifting of objects up to twenty pounds.
  • Ability to access and navigate various facilities within the organization.

Compensation

The mothly salary range for this position is $5400$6600. Salary is commensurate with experience education and expertise. A competitive benefits package is also offered.
