Job Description

Position: Local School Finance Coordinator

Department:Finance

Reports to: Network Internal Financial Manager / Local Administration

Qualifications:

  • Previous experience in financial management in public school setting preferred
  • Quickbooks experience preferred
  • Knowledge of GSuite Applications: Drive Docs Sheets Slides Forms etc.
  • Ability to be flexible in a fastpaced changing environment
  • Excellent communication skills
  • Must possess and maintain valid Pennsylvania school clearances.

Job Overview: The Local School Finance Coordinator will complete a variety of financial tasks across all schools and assist the Network Internal Financial Manager in all areas as needed

Responsibilities:

  1. Purchases for all orders for local school (including purchase orders credit card orders Amazon and other online vendors etc.) and ensures receipts and notifications reach the appropriate personnel
  2. Ensures purchase order numbers (if applicable) and/or cost changes are reflected in purchasing paperwork
  3. Maintains running log of all purchase orders with funding source
  4. Process all petty cash student activities and AMP checks
  5. Coordinates returns of any items and ensures paperwork gets to where it needs to go
  6. Completes bank deposits
  7. Coordinates money collection process and ensures all rules are followed
  8. Uses Quickbooks to track and maintain numerous accounts. Completes all entries.
  9. Scans and sends all deposits to schools business office
  10. Collects scans and submits any invoices mailed to the school into the accounts payable system
  11. Prepares cash drawers for school events
  12. Maintains and tracks expenses applied to blanket purchase orders
  13. In conjunction with personnel that handles receiving checks status of orders and timeframes for delivery as needed
  14. Orders food items including but not limited to pizza Sams Club Amazon Fresh etc. for clubs activities meetings AMP etc.
  15. Ensures all supply closet copy paper and custodial needs are ordered and coordinates the communication process of obtaining this information
  16. Utilizes electronic money collection systems and utlizes reports as needed.
  17. Attends and assists with school events as needed



Professional Obligations:

  1. Enforce administration policies and rules governing students.
  2. Collaborate with other teachers and administrators in developing evaluating and revising school programs.
  3. Prepare reports on students and activities as required by the administration.
  4. Attend professional meetings educational conferences and training workshops to maintain and improve professional competence.
  5. Attend staff meetings and have the opportunity to serve on committees.
  6. Adhere to Professional Standard of Conduct including confidentiality code of ethics and appropriate internet use as outlined in the Policy and Procedures manual and Staff Handbook.
  7. Follow all approved board of trustee and financial policies
  8. Complete schoolmandated technology PD hours.
  9. Perform all additional related duties and responsibilities as designated by the Local Administration CEO or Network Team.

Terms of Employment: Twelve (12) months. Contract terms and salary to be determined by the Board of Trustees.

Evaluation: The performance of this job will be evaluated annually in accordance with provisions of state law administrative code and the Boards policy on the evaluation for this position.
