Job Description

JOB SUMMARY

Surgery Scheduler Supervisor manages the surgery department and schedules for multiple physicians. At the same time providing the highest levels of courtesy respect and customer service to patients. The scheduling process involves coordinating between patients multiple physicians anesthesia providers laboratories and other medical representatives.

DUTIES AND ESSENTIAL JOB FUNCTIONS

Supervisor Duties:

Oversees the surgery scheduling department which includes Surgery Schedulers and the PreCertification Team.

Monitors pending and scheduled surgery cases by generating reports.

Performs monthly report audits on pending cases to ensure patients are being contacted timely cases are being forwarded to the appropriate route and patients are being surgeries are being scheduled within the established guidelines.

Oversee the Precertification process.

Updating Clinical Policies is necessary and meets with the team meets to share the checklist.

Works with the department manager on denials to ensure that appropriate action is taken to ensure the process is developed to avoid future denials.

Establishes a weekly huddle with the team to ensure issues are addressed timely manner.

Assist in the yearly evaluations of department teammates.

Assist with Payroll.

Collaborates with the department manager and team to develop an orientation and training program for Schedulers and PreCert staff; provides ongoing education as processes evolve.

Attends Operations Meeting and assists in the development and tracking of agenda items.

Serves as a liaison for the clinics and the surgery scheduling team.

Surgery Scheduling Duties:

Schedules nonclinic surgeries admissions procedures or specialized testing for inpatient outpatient or ambulatory surgery centers. Including any associated services such as anesthesia physical therapy or Home Health Services.

Schedules surgery in accordance with the appropriate facility and following the Providers protocol.

Ensures proper documentation is noted for all orders pertaining to the requested surgery or admission and completes all paperwork and requirements for the hospital/outpatient facility including verifying patient

consent history physical notes insurance and demographic information or any other paperwork specific to the facility forwards to the facility in a timely manner.

Follows up on any outstanding issues to ensure surgery is performed at the scheduled time.

Interacts with the Provider to secure and clarify surgery orders and other related details.

Educates patients to ensure they are fully informed in all aspects of the surgery accessing clinical staff for medical issues or questions they cannot answer.

Coordinates with PCP for medical/cardiac clearance if necessary. Obtains a copy of results and forwards them to the hospital and outpatient facility ensuring receipt in a timely manner.

Coordinates scheduled surgeries with Surgery PreCert staff for verification and obtaining all information required to ensure payment for services provided for outpatient or inpatient surgeries procedures or specialized testing.

Refers the patient to Surgery PreCert staff or CBO for financial counseling or specific financial questions

Tracks all scheduled cases and notes any circumstances for a delayed cancellation or postponed surgery.

Provides reports as requested to the department manager on the status of all surgeries scheduled and canceled.

Maintains digital surgery packets.

Communicates call to Physician for potential complaints in a timely manner.

Introduces selfusing AIDET skills.

QUALIFICATIONS

Required

Associates degree

Four years or more of surgery scheduling experience

Two years of Leadership and supervisory experience

Previous experience with verification of eligibility and benefits referrals and preauthorizations

This is an office position reporting location the Central Business Office
