WOODTV is seeking an individual to fill a critical role in Administration and Programming. This Executive Assistant and Programming Coordinator role supports our Executive Leadership with a variety of essential processes that keep our television stations running properly including FCC compliance internal communications project management and coordination of programming information to multiple departments. The ideal candidate for this position is someone that is accurate detail oriented and enjoys collaboration with others to get the job done.
Essential Duties & Responsibilities
- Provide Executive Leaders with administrative support for established committees; recruitment support; travel arrangements; manage tickets and other employee/client services; equipment supplies and facilities needs; personnel security. Participate on a number of internal committees. for employee recognition employee engagement and station events.
- Under guidance of the stations General Manager prepare quarterly and annual reports for FCC and corporate filings. Manage the scheduling tracking and reporting of childrens programming Programming and Issues and other required corporate reporting as directed.
- Work with NBC ABC CW MyNet and other program providers and the corporate programming hub to maintain programming on the stations creating computerized program schedules for the stations including 13week and 4week advanced schedules for listing services and internal use.
- Works with internal and corporate content managers to coordinate details and clearances of special companywide and locally produced programming with the traffic and operational hubs. Prepares contingency plans and communicates those plans to stakeholders.
- Coordinates with other departments to solve logistical problems in coordination of station programming and associated contracts to ensure all terms and conditions are fulfilled accurately.
- Reconciles Nielson and ComScore program schedule changes and submissions daily.

Requirements & Skills
- Minimum of Associates degree in Communications Marketing or related field.
- Excellent Communication skills oral and written.
- Minimum 3 years in a clerical or administrative support role.
- Thrives in a team environment and demonstrates leadership skills.
- Highly organized with acute attention to detail and accuracy.
- Exceptional time management and prioritizing skills with ability to multitask.
- Actionoriented with strong execution and follow up skills.
- Proficiency with computers telephones copiers and other office equipment.
- Fluency in English.
- MS Office to include Word PowerPoint Excel Adobe and Outlook.
Physical Demands and Work Environment
This position represents the senior leadership of the organization and requires a cooperative pleasant attitude and a willingness to take on additional responsibilities and challenges and a high degree of discernment in handling confidential information and compliance protocols. May work in a high stress environment with deadline pressures. The employee in this position must be able to sit conduct telephone conversations use electronic mail write letters and memos conduct facetoface discussions with individuals or groups work near others and work indoors in environmentally controlled conditions.
