Are you a detailoriented professional looking for an opportunity to provide operational and administrative support to the President of The College of Western Idaho The College of Western Idaho (CWI) is seeking an Executive Assistant to support the President and an elected Board of Trustees on a broad variety of advanced highly confidential and complex issues.

Key Responsibilities:

Confidential & HighLevel Support

  • Provide confidential and highlevel support to the President and the Board of Trustees.

  • Oversee operations of the Office of the President including Trustee communications and meetings and executive management meetings.

  • Act as executive liaison to the Board of Trustees by facilitating effective communication. Prepare agendas minutes and public notices.

  • Safeguard confidentiality regarding all presidential and executive matters by exercising discretion while managing this information.

  • Strategic Calendar Management

  • Set the strategic direction of the Presidents complex calendar to ensure that it aligns with his priorities including vetting and evaluating requests from internal and external constituents.

  • Anticipate and assure that appropriate plans are executed for meetings and events while keeping the President informed of commitments.

Public Relations & Communication

  • Promote a positive image of CWI by greeting visitors to the Presidents office responding to inquiries from diverse CWI publics (e.g. students parents faculty staff legislators alumni the media and public and private officials) providing authoritative information regarding CWI policies or decisions referring inquiries or problems to the appropriate person resolving problems and following up to determine the inquirers satisfaction with the response.

  • Prepare agenda and meeting materials attend meetings to take and transcribe minutes maintain and distribute minutes as necessary.

  • Serve as a liaison between the President and CWI administrators The Board of Trustees public and private officials faculty staff students and the various public entities by communicating and/or interpreting policy decisions and documents issued by CWI and providing information to the President.

  • Coordinate the flow of incoming/outgoing communications by receiving routing and/or responding to incoming communications and determining the appropriate office department or agency for outgoing communications.

Administrative Oversight

  • Assist the President in oversight functions by reviewing and monitoring CWI personnel action forms and reviewing correspondence and documents prepared by other offices for the Presidents signature.

  • Facilitate efficient and costeffective official travel for the President and other official visitors by making travel arrangements and submitting required paperwork.

  • Provide information for reports and records through research data retrieval compiling and/or tabulating statistics and organizing and presenting the information.

  • Prepare complete and accurate correspondence for distribution and signature.

  • Assist with development and management of the budgets under control of the Presidents Office.

  • Serve as event coordinator for various functions of the Presidents Office including but not limited to the Fall Address and the State Board of Education meetings. Facilitate the success of events by scheduling with appropriate offices contacting participants preparing agendas and programs and arranging for audiovisual and equipment.

  • Perform records management of a complex filing system by overseeing the filing system and using judgment and knowledge of office requirements.

  • Responsible for the management of administrative support staff.

  • Contribute to the overall success of CWI by performing other essential duties and responsibilities as assigned.

What Were Looking For:

Education & Experience

  • Bachelors degree in businessrelated field or equivalent experience and the Certified Administrative Professional (CAP) credential preferred.

  • Five years of experience supporting an executive preferred.

  • Proven ability to analyze situations accurately and take initiative to apply appropriate action.

  • Exceptional written and verbal communication skills including writing business correspondence.

  • Works with a very high degree of accuracy.

  • High level proficiency with Microsoft Office including Word Adobe PowerPoint and Excel.

  • Excellent organizational problemsolving interpersonal and leadership skills.

  • Demonstrate ability to maintain confidentiality and integrity with sensitive information.

  • Independent and responsible with skill in organizing work handling multiple projects simultaneously and meeting deadlines. Able to flexibly accommodate the many demands of the position.

  • Proven ability to provide supervision and to work well with others.

  • Ability to work well with minimal supervision utilizing independent judgment and discretion.

  • Willingness to foster and/or participate in a teambased collegial environment.
