This is a fulltime 40hourperweek position Monday through Friday based at our Main Office in Modesto CA. The HR Administrative Assistant plays a vital role in supporting daytoday HR operations including coordinating onboarding processes maintaining employee files managing HRIS data and ensuring documentation compliance. This position also supports credential tracking employee recognition programs job postings and regulatory reporting. The ideal candidate is detailoriented professional and committed to delivering excellent internal customer service in a fastpaced missiondriven environment.

Position Summary: The HR Specialist supports essential HR functions including credential tracking onboarding internal communication and HRIS data integrity. This role ensures agency compliance with documentation and regulatory requirements and helps develop processes to improve HR operations.
QUALIFICATIONS:
Two four (24) years of administrative experience. Onethree (13) years of Human Resources experience preferred.
Excellent communication skills both verbally and in written form.
Strong organizational skills.
Word processing experience with knowledge of Microsoft Word Excel and Access required. Human Resources Information System (HRIS) preferred.
Strong analytical and problemsolving skills.
Ability to maintain confidentiality.
Pass agency paid criminal justice screening including fingerprints.
Pass agency paid TB (Tuberculosis) screening.
Valid California drivers license and proof of auto insurance coverage.
Pass agency paid motor vehicle report (MVR) clearance with no more than 2 points if you are under the age of 25 our insurance company will not allow any points.
DUTIES:
New Hire Onboarding & Personnel File Management
Coordinate pre and postonboarding processes including sending orientation reminders conducting the clearance process for candidates preparing new hire folders and creating badges.
Create and maintain new employee electronic files and physical folders.
Gather and organize documents for agency programs (e.g. Hutton House license binder).
Complete employer sections of onboarding paperwork.
Help managers create job requisitions in HRIS (Paycom) and support the offer letter process.
HRIS & Documentation Compliance
Process Verification of Employment requests.
Process wage garnishments in HRIS (Paycom).
Support data requests and document collection for audits (401k compliance etc.).
Manage evaluations: tracking reminders and enter in HRIS (Paycom).
Certifications Credentials & Regulatory Requirements
Enter track and manage all agencyrequired credentials including TB BBS credentials CPR/First Aid drivers licenses vehicle insurance and professional licenses.
Coordinate and track employee participation in required trainings such as Core Training and National Voter Registration Training.
Coordinate DOJ background checks DMV pull reports for Hutton House and new hires.
Assist employees with creation or update of National Provider Identification.
Employee Engagement & Recognition
Manage annual service awards including running reports selecting and ordering employee gifts.
Track and manage the Referral Incentive Program.
Prepare and distribute employee birthday cards.
HR Communications & Administrative Support
Monitor HR email inbox and route/action items appropriately.
Help resolve employee tickets in Zendesk or escalate them as needed.
Obtain leadership signatures on completed requisitions and forms.
Post jobs internally and externally and ensure job requisition information is complete.
Assist with leave of absence coordination including communication documentation and system updates as needed.
Assist with workers compensation coordination including communication documentation and system updates as needed.
Create send and track the Administrative Performance Survey for leadership evaluations.
Assist in the preparation and administrative support for various HR and agency meetings (benefit meetings employee orientations volunteer orientations and allstaff meetings).
Assist in preparing and processing requisitions to cover expenses related to new hire orientation and onboarding activities.
Other duties as assigned.
