This position requires a detailoriented organized individual with strong communication and multitasking skills. The Administrative Assistant will work closely with multiple teams and management to ensure smooth daytoday operations.
Qualifications/Requirements: - Must be 18 years of age
- Must pass a criminal background check
- Must pass preemployment & random drug testing
- Must have a valid drivers license and good driving and good driving record
- Must have a high school diploma or its equivalent
- Must have excellent communication organization and customer service skills
- Able to read understand and implement written and oral instructions.
- Ability to maintain client confidentiality
- Must be proficient in MS Office Suite for document creation editing and organization
- Ability to multitask in a busy work environment.
- Must have basic knowledge of typical office equipment & technology
Responsibilities: - Provides general administrative support to employees and departments assisting with tasks as needed to ensure the organizations efficient operation.
- Handles incoming calls to the organization.
- Greets all participants staff and visitors.
- Maintains company conference room calendars.
- Assists with emergency evacuations and drills.
- Assists with planning and organizing staff meetings and events including making copies and assembling packets.
- Provides backup support to other Administrative Assistants and FTSB scheduling.
- Manages scheduling & department Calendar
- Provides communication Support
- Assist with staff training records and documentation
- Maintains purchasing and inventory
- provides support with staffing and payroll
- Cooperates and works as a team member with coworkers and supervisors. Treats coworkers and supervisors with respect. Promotes teamwork and maintains a positive attitude.
- Completes initial and annual training(CPR First Aid Tb skin assessment etc.) as directed by Agency policy and regulatory standards. Attends monthly staff meetings and additional staff development trainings as scheduled.
- Adheres to Agency policy and procedures. Maintains a consistent work attendance record. Limits use of calling off to a minimum and notifies direct supervisor in appropriate amount of time when unable to report to work.
- Fosters collaborative working relationships among members of the leadership and management teams and programs.
