Job Summary
The Payroll and accounting Specialist (PAS) is responsible for all payroll and payroll processing functions all payroll and processing funcutons for contract labor and various other accounting functions. This role requires a conscientious detailoriented individual with a strong payroll accounting management and administration background.
Main Responsibilities
Payroll
Responsible for ensuring the organizations policies procedures and practices comply with all federal state and local laws related to Payroll compensation and some benefits.
Remain current with changes in payroll laws and mange the organizations relationship with federal state and local regulatory agencies.
Work directly with the department directors/managers as needed to assist them in carrying out their responsibilities on personnel matters including Payroll time and attendance; assist with employee benefit programs.
Manage prepare and process biweekly payroll functions including payroll and payroll journal entries.
Prepare and process 403b contributions timely
Manage prepare and process biweekly monthly quarterly and annual payroll reporting payroll account reconciliations and PTO accruals.
Prepare annual payroll budget for each department.
Reconcile invoices for benefits and process payments monthly accurately and timely.
Research and benchmark compensation plan annually with comparable organizations to make recommendations for improvements to keep the organizations plans competitive and effective.
Prepare and file all 403b required reporting such as formsand SAR.
Accounting
Accounts Payable Vendor file management W9 Compliance Vendor insurance Compliance; Vendor File/Contract Maintenance and annual issuance of 1099 forms.
Issues purchase orders verify vendor information and coding. Monitor open Purchase Orders.
Manage credit card access/usage ensure proper purchase approval and input transactions to A/P.
Setup of contract labor vendors.
Contract Labor verification and input biweekly.
Pick up bank bags as scheduled and drop off deposits as needed.
Maintain postage account and print postage.
Crosstrain and provide backup to the Accounting department.
Serve as backup for daily cash import and reconciliation as needed.
Additional Responsibilities
Able to perform other general duties and special projects as assigned.
Minimum Qualifications
Required Skills and Abilities
Excellent verbal and written communication skills. Being bilingual is a plus.
Excellent interpersonal customer service skills.
Strong interpersonal skills ability to prioritize work excellent organizational skills initiative to improve processes negotiate conflict and the ability to observe confidentiality.
Detailoriented works independently and follows through on tasks.
Proficient with Microsoft Office or related software.
Current Drivers License and a good driving record required
Education Training and Experience
Associate or bachelors degree in Accounting Human Resources Business Administration or related area preferred or equivalent combination of education training and experience.
Certified Payroll Professional or equivalent experience in Payroll Management and Accounting.
Experience in human resources is beneficial but not required or any combination of the above.
Five years of progressively responsible Payroll compensation and accounting. Any equivalent combination of experience and training that provides the required knowledge skills and abilities.
Three years of experience in Quickbooks is required.
Physical Requirements
Ability to remain stationary occasionally standing or sitting for prolonged periods.
Ability to lift 15 pounds occasionally.
