The Division of Family and Community Services is seeking to hire an office administrator to coordinate anddirects the activities of the clerical staff assigned to the Southeast Family and Community Resource Center. This position supervises coordinates and directs the activities of the clerical staff performing a variety of specialized and technical tasks involving assistance to customers.
Monitors the activities of the clerical staff in the financial and files unit.
Serves as working supervisor over the financial unit to ensure proper maintenance of employee records as well as customer applications and verifications.
Monitors and follows up on timekeeping.
Responds to inquiries from staff and public regarding case status.
Stays current and informed of agency/division changes.
Serves as Office Manager in their absence.
Performs other duties as required or assigned which are reasonably in the scope of duties enumerated above.
Requires knowledge skill and mental development equivalent to completion of two (2) years of study at a secretarial/business college and one (1) year of office experience; or completion of high school and three (3) years of Office Assistant experience; or three (3) years independent business experience.
One (1) year of professional supervisory experience assigning work providing guidance to subordinates recommending counseling training staff and approving time off.
One (1) year of professional experience communicating clearly and effectively both orally and in writing with both internal and external officials providers and/or the public.
One (1) year of professional experience meeting deadlines with strong attention to detail while multitasking multiple projects.
One (1) year of professional experience conducting special projects which include evaluating existing and proposed programs policies and procedures for a public or private organization.
One (1) year of professional experience managing registrations and coordinating arrangements for trainings meetings both inperson and automated communications for a public or private organization.
One (1) year of professional experience utilizing office procedures and programs for a public or private organization.
Work Hours:MonFri 8:30am5pm 1 hour unpaid lunch.
Work Location:11203 S. Ellis Ave.; Chicago IL 60628 (Roseland FCRC) AND 915 E. 63rd St.; Chicago IL 60637 (Woodlawn FCRC) on a temporarily permanent basis until a suitable full time permanent office location is identified for Southeast at which time all Southeast will be relocated to the new worksite location.
