Job Summary:
Working under general supervision performs a wide variety of administrative and secretarial duties. Provides primary support to the Supportive Care Coordinator. Duties range from greeting patients answering/triaging phone calls coordinating and scheduling multiple meeting establishing and maintaining file systems and businessrelated document materials assisting with report preparation and data analysis. Responsibilities also include special projects as well as support to all the team members in the cancer program (i.e. Registry Research and Cancer LifeNet team members). Under administrative direction organizes work to meet established deadlines an maintains data to support the functions of the oncology service line and is often the first point of contact in the Cancer LifeNet area.
Job Functions:
- Provide excellent and attentive customer service by immediately greeting patients answer phones and triage calls to the correct department; Present a positive first impression to all who come through the department and ensuring all customer needs are being met in a timely fashion.
- Effectively provide confidential administrative support managing calendars helping to coordinate meetings/seminars/appointments conference calls preparing reports meeting minutes and correspondence making room reservations and placing menu requests as needed.
- Responsible for keeping the department stocked with all items necessary to maintain smooth operation; this includes office supplies warehouse supplies printshop supplies and marketing materials (brochures business cards) as well as ordering patient education materials from outside sources assuring an ample supply is always available.
- Assists with all support groups providing room setup catering and reminder calls to group members. Maintains online calendar. Tracks group attendance on a monthly basis. Assists with the scheduling of patients for CAM services. Assures payment to CAM providers on a monthly basis. Updates online calendar and CBISA on an ongoing basis.
- Prioritizes work assignments and completes duties within prescribed time frames. Exercises good judgment and makes independent decisions within the scope of the designated responsibility and authority.
- Participates as part of a team to accomplish departmental goals. Establishes and maintains positive working relationships and open lines of communication. Will help with offsite events as needed manning tables distributing literature and acting as ambassador for the Cancer lifeNet department.
- Supervises Cancer LifeNet volunteers assigning them duties to fit their individual skills and preferences; tasks assigned to volunteers will include phone call reminders assisting with mass mailingsw (stuffing envelopes affixing address labels) and preparation of education materials for patients.
- Prepares reports and data analysis letters minutes PowerPoint presentations process flow charts and educational materials/fliers for the oncology program.
- Acts as Safety Rep for the department attending quarterly meetings performing periodic rounding of the department maintaining safety communication bulletin board and assisting in the continuing education of safety related issues to team members; Assures that a Code Yellow kit is available and up to date.
- Acts as coordinator for Calendar of Events on a quarterly basis working with marketing department to meet deadlines for publication and updating departmental mailing list.
- Participates in Performance Improvement/Culture of Excellence activities to improve service and interdepartmental communications.
- Supports Cancer Center Administrative Assistant when needed covering those duties as much as possible when she is not available.
- Maintains high personal standards for customer satisfaction productivity learning cooperation responsiveness communication and optimism.
- Assist with Accounts Payable.
Requirements
Job Requirements:
- Education & Training: AA degree in Secretarial Science and/or a minimum of three (3) years experience and training which provides the required skills knowledge and abilities to perform the job as described.
- Work Orientation & Experience: A minimum of three (3) years experience as an Administrative or Executive Assistant is required. Experience in an institutional healthcare setting required. Working knowledge of medical terminology is required.
Skills & Abilities:
- Experience with Epic is required
- Ability to take and transcribe meeting minutes accurately;
- Computer literate in software applications to include Microsoft Word Excel PowerPoint and Outlook. REQUIRED Strong experience with excel.
- Excellent oral communication skills;
- Communicates positively and effectively with inhouse and external customers;
- Ability to prioritize work assignments and complete duties within prescribed timeframes;
- Ability to deal with constant change in a highpressure environment;
- Ability to use high degree of discretion in managing confidential information;
