Job Description

Department: Development Office

Reports To: Director of Advancement (or designated supervisor)

The Development Assistant for the Development Office provides comprehensive administrative and operational support to the department. This role is crucial in ensuring the efficient functioning of alumnae engagement fundraising and gift processing activities. The ideal candidate will be highly organized detailoriented possess excellent communication and interpersonal skills and maintain a high level of professionalism and confidentiality.

Essential Duties and Responsibilities:

  • Alumnae Relations Support (50%):
    • Assist with the planning preparation and execution of alumnae events including but not limited to: Alumnae Weekend/Reunion 100Night Dinner Valentines Day Luncheon Alumna Artist and Alumnae Christmas Program/Reception and other programs
    • Assist with the preparation of alumnae communications including Quid Nunc college care packages invitations Class Notes Professional Connections birthday cards and event updates
    • Assist with internship coordination
    • Update Raisers Edge records with pertinent information and information from Class Notes myRPCS and LinkedIn
    • Assist with the coordination of alumnae committees and board members
    • Respond to alumnae inquiries and requests in a timely and professional manner
    • Assist with the coordination of alumnae volunteer activities
    • Maintain and update alumnae contact information in the database
  • General Administrative Support:
    • Manage and maintain departmental calendars schedule appointments and coordinate meetings including logistics agendas and minutes.
    • Prepare and edit correspondence reports presentations and other documents with accuracy and attention to detail.
    • Answer and direct phone calls respond to emails and manage departmental mail.
    • Maintain and organize departmental files (both electronic and physical) and databases ensuring information is accurate and easily accessible.
    • Order and maintain office supplies and equipment and coordinate with IT and facilities as needed.
    • Process invoices expense reports and other financial documentation in accordance with institutional policies.
    • Make travel arrangements and prepare itineraries for department staff.
    • Provide support for departmental events including mailings registrations and onsite assistance.
    • Events
    • Work with the Director of Parent Engagement and Events to plan implement and execute fundraising events (e.g. Red Hot Run Golf and Pickleball tournament Night Under the Stars or its equivalent)
    • Prepare name tags and bios for events
    • Update Raisers Edge and event platforms to enter and extract attendee information
  • Prepare marketing materials signage and other collateral materials as needed
  • Aid in facilitating silent auction organization and programming software
  • Partner with team on dayof needs from beginning to cleanup
  • Outreach to community for raffles giveaways and donations
  • Development Support:
    • Support the coordination of fundraising appeals and campaigns including mailings and online efforts.
    • Assist with prospect research and data entry.
    • Assist with the preparation of fundraising reports and mailing lists as needed.
    • Manage the archives
    • Assist with data and gift entry especially at high volume times.
    • Assist with updating donor records in Raisers Edge and Blackbaud ensuring data accuracy and integrity.
    • Assist with the preparation and mailing of pledge reminders
    • Assist with the preparation of donor acknowledgements thank you letters and other donor correspondence as needed
    • Assist as needed with adding actions and notes to donor records
  • Financial and Data Management:
    • Assist with budget tracking and reconciliation.
    • Ensure the confidentiality of all donor and alumnae information.

  • Other Duties:
    • Provide backup support to other administrative staff within the institution as needed.
    • Generate reports from the Development database as needed.
    • Perform other duties and responsibilities as assigned by the Director of Advancement or other department staff.

Qualifications:

  • High school diploma or equivalent required; associate or bachelors degree preferred.
  • Minimum of 13 years of administrative support experience preferably in a development alumnae relations or nonprofit setting. Internship experience can be used in lieu of.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) is essential.
  • Proficiency in Google Suite is preferable.
  • Proficiency in Canva is preferable.
  • Experience with CRM databases (e.g. Raisers Edge Blackbaud) is highly desirable.
  • Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Professional demeanor and ability to interact effectively with donors alumnae faculty staff and the public.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to work independently and as part of a team.
  • Flexibility and willingness to adapt to changing priorities.
  • Ability to lift 2530 pounds
  • Ability to work occasional nights and weekends

Preferred Qualifications:

  • Knowledge of the institutions mission and values.
  • Familiarity with fundraising and alumnae relations principles and practices.

Work Conditions:

  • The Development Assistant position is a fulltime nonexempt 12 month position.
  • The individual in this position is expected to work during all hours as may be assigned by the School and during other hours for events and activities.
  • The Development Associate is expected to perform their job duties on campus unless otherwise permitted by the Head of School.

Compensation Disclosure: In accordance with Marylands Equal Pay for Equal Work Act we are committed to providing transparent wage information for all posted job opportunities. The salary range for this position is $45000 $50000 annually. Compensation is determined based on factors such as Experience Qualifications and Internal equity.
