What Youll Do on a Typical Day :
Under the responsibility of the Invoicing Manager the Team Leader Shared Invoicing has accountability for the performance of their team within the Shared Invoicing Department against agreed KPIs. Through defining implementing and monitoring team objectives you will ensure the accurate and timely production of Egencia customer invoices whilst ensuring company policies and procedures are adhered to. As Team Leader you will motivate and develop your team; lead by example; share your knowledge with the team; act as an escalation point for internal colleagues and provide support to all other teams within the department
Assign priorities of work for the team as per the agreed guidelines. Monitor Team performance and activity through KPIs and published metrics. Review team actions weekly with the department Manager and assist in compiling action plans. Define and work to business priorities.
Monitor results and timelines to establish requirements and customer expectations. Organize and schedule the workflow for current processing within your team. Carry out Quality Audits monitoring and evaluation of all agents and operators to improve the efficiency
Resolve escalated customer complaints and queries within the required timeframe; and assist in customer experience improvements. Constantly looking for opportunities to drive efficiency and improvement. Conduct root cause analysis streamline processes and implement the solutions
Provide feedback to the relevant team on Improving Upstream Processes. Review E2E processes on regular basis and share the findings with the Department Manager. Work closely with tech Support team on issues impacting Invoicing KPIs. Work closely with the Invoicing SME Operation on Critical Back office Improvement projects. Ad Hoc analysis and Business Case support as required
Supervisory
Hold monthly team meetings to ensure a clear understanding of objectives and encourage open discussion of process issues and challenges. Hold formal onetoone meetings with each team member every month discussing achievements against objectives and allowing the team member to raise concerns directly
In conjunction with the Manager/Supervisor define set and implement Agile Priorities. Cover absence and organize absence planning as required.
Providing training to both existing and new members of the team where required. Monitor work quality and adherence to process through performing monthly dip checks on emails; relevant SOX controls and invoices generated
Interaction with Other Teams
Ensure agreed service levels with other teams are monitored as per the agreed frequency to ensure service is consistently delivered either by/to the Shared Invoicing team.
Monitor workloads/data requests out with other teams and control inbound/outbound workflows with Finance CIC and reconciliation
Reporting & SOX compliancy
Ensure weekly status reports are provided to members of the Operations Management team
Update defined weekly reports to ensure SOX standards are complied with and highlight discrepancies or areas of concern to your line manager
What Were Looking For :
Graduate with 7 years of experience in endtoend understanding of automated and manual billing environment
Proven experience in Supervising a team of at least 2 3 people.
Excellent communication skills confident manner with all levels.
A flexible handson approach with strong initiative and motivation to work in a constantly changing environment.
Methodical and Analytical approach with meticulous attention to detail. Planning & Organizing skills in respect of hitting deadlines and managing multiple workflows.
Quality control skills. Strong communication/interpersonal skills; experience dealing with multiple local and Virtual stakeholders.
Excellent team player Skills/Experience Desirable
Travel industry experience highly desirable
