We are seeking an Experienced Business Administration Assistant to support a variety of administrative financial and operational tasks. This flexible role offers a hybrid work environment and the opportunity to contribute to a variety of projects in a dynamic environment.
Position Overview
This position plays a vital role in keeping our operations running smoothly. The ideal candidate brings 10 years of broad small business administration experience and is excited to work in a small tightknit evolving company environment. Experience in the building or other technical industries is highly valued.
This is a parttime (24 / hours/week) position depending on the candidates experience and interests.
Key Responsibilities:
Client Relationship Management
Maintain and manage client and project databases (Airtable).
Handle inbound and outbound phone text and email communications professionally.
Financial Management
Manage QuickBooks: invoicing billing collections expense tracking and reconciliation.
Scheduling and Coordination
Coordinate team and project schedules meetings and appointments.
Document Preparation
Assist in report preparation editing and formatting.
IT and Software Support
Maintain office systems software tools (Microsoft Office Airtable QuickBooks) and provide light IT support.
Room to Grow: Depending on qualifications and interest this position can grow to include:
Marketing & Communications
Support company communications website updates social media and basic marketing tasks.
Project Support
Provide detailed project coordination documentation and occasional jobsite support as needed.
Required Skills & Experience
Minimum 10 years of small business administration experience in various roles.
Strong skills in:
Financial Management (QuickBooks billing collections expense tracking)
Writing Editing and Formatting professional documents and reports
Business Communications (phone email client relations)
Software including Microsoft Office QuickBooks Airtable and general IT troubleshooting.
Organized detailoriented and selfmotivated.
Curious and eager to learn about and participate in the building industry.
