The primary duties include:
- office inventory management & providers procurement and management
- secretary duties receiving visitors incoming and outgoing emails and letters initial processing of service bills
- organization of the office space according to department needs
- ordering and maintaining in order snacks and food offering
- cleaning and security service management
- rent sublease logistics and administration of the companys apartments allocated to workers
- safety of the office space measures audits in collaboration with our health&safety partner
- contact with external suppliers and partners such as building administration equipment technical support office cleaning building condominium Portuguese state institutes
- seating plans and rules contribution
- inoffice perk management (e.g. Library/sports corner)
- ordering and maintaining topnotch merch for internal and external use
- support CEO HR and Finance teams with Administrative duties when necessary
- support of team and community events onsite and offsite
Qualifications :
Requirements and Professional Qualifications
- at least a year of experience in a similar position
- responsible and reliable
- ability to prioritize well and to deal with several stakeholders
- fluent Portuguese and English
- friendly and ready to help
