This is a remote position.
Key Responsibilities
- Manage calendars schedule meetings and coordinate appointments across multiple time zones
- Organise domestic travel including flights accommodations itineraries and any other requirements such as car bookings restaurant bookings etc
- Prepare agendas take meeting minutes and track action items as needed
- Expense reporting for the CEO
- Utilise AI to problem solve
- Create format and polish professional documents and presentations using Word Excel and PowerPoint
- Design visually compelling reports event collateral and internal documents
- Assist with desktop publishing tasks including layout and formatting of highlevel communications
- Conduct indepth research on events companies and speakers to support executives before meetings and conferences
- Compile and summarise insights and talking points in advance of engagements
- Support event planning and logistics where necessary
- Maintain and organise company files and collaborative content on SharePoint
- Ensure timely updates and data integrity across shared systems and platforms
Requirements
- Proven experience as an Executive Assistant Personal Assistant or similar role
- Strong background in calendar and travel management
- Advanced proficiency in Microsoft Office Suite particularly Word Excel PowerPoint and Outlook
- Excellent desktop publishing and document design skills
- Experience using SharePoint
- Ability to speak confidently to contacts and or clients
- Familiarity with MYOB or similar finance software
- Excellent research skills with the ability to synthesise and present findings clearly
- High level of discretion professionalism ethics and organisational ability
- Strong verbal and written English communication skills
