Job Description

Event and Engagement Assistant

Hourly Rate: $20.50

Position Type: Full Time 35 hours/week

Fixed term employment 8 weeks for 280 hours total

Job Location: 1923 Fernwood Road and 1240 Gladstone Avenue

Reports to Director of Community Development

Fernwood Neighbourhood House (FNH) is a vibrant multiservice organization working on the unceded lkn (Lekwungen) lands in Victoria BC. Were dedicated to fostering an inclusive resilient and connected community by providing a wide range of programs for all ages from childcare and family support to food security initiatives intergenerational programs and community events that celebrate our diverse neighborhood. Our work prioritizes equity centers the voices of marginalized and racialized people and aims to create a welcoming environment for everyone who calls Fernwood home.

The main responsibility of the Event and Engagement Assistant is to assist with the organization and implementation of FernFest 2025 FNHs annual neighbourhood celebration. We are looking for an Event and Engagement Assistant to oversee the organization of our volunteers at FernFest as well as supporting with other aspects of the event including management of musician merch event signage support with promotions and social media auction equipment and event supplies and programming for the event overall. The ideal candidate should have experience in volunteer management and event planning as well as organizational problemsolving and interpersonal skills. Hours/work schedule:

Fulltime temporary position (number of hours per week will vary).

Leading up to the event schedule will be Monday Friday between 9:30am 5:00pm.

Required to work Thursday June 12 to Sunday June 15 during FernFest 2025 and Thursday June 26 during the FernFest Appreciation Party.

Key Responsibilities:

Assist the Director of Community Development in the planning of FernFest 2025.

This role will work Thursday June 12 to Sunday June 15 during FernFest 2025 supporting setup implementation and teardown of event.

Volunteer Coordinator for FernFest 2025:

Recruit & Schedule Promote roles recruit volunteers and assign shifts.

Train & Orient Provide preevent info session and onsite briefings.

Support OnSite Check in volunteers answer questions and manage changes.

Communicate Be the main contact for all volunteer needs.

Recognize & Retain Thank volunteers and track participation.

Collaborate on planning the FernFest Appreciation Party on Thursday June 26.

Management of signage performer merchandise materials and supplies for event.

Support online auction coordination with a lead volunteer.

Support marketing promotion social media.

Support the completion of final reports for grant funding surveys equipment and supplies returns thank yous and other duties as assigned.

Requirements:

Must be between the age of 15 and 30 years old as per the Canada Summer Jobs requirements.

Must be a Canadian Citizen permanent resident or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act S.C. 2001 c. 27*

Must be legally entitled to work according to the relevant provincial / territorial legislation and regulations.

*International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.

Qualifications:

Excellent organizational and planning skills.

Ability to problemsolve and prioritize tasks with minimal supervision.

Experience with event planning and volunteer management is an asset.

Experience with communications and social media management is an asset.

Valid drivers license is an asset.

Commitment to full participation in the organizations efforts towards justice equity diversity decolonization and inclusion.

Working Conditions:

Events necessitate some physical exertion including the ability to lift objects weighing up to 40 lbs such as chairs tables supplies food etc.

The shared work environment may be busy and loud.

All employees within Fernwood NH require a Vulnerable Sector Criminal Record Check upon being hired.

Fernwood Neighbourhood House is a unionized workplace and this position is part of the BC General Employees Union (BCGEU) bargaining unit. We are currently in the process of negotiating our first collective agreement.
