Job Description

INFOSESSION ON THE VACANCY AND RECRUITMENT PROCESS
NATO is organising an infosession webinar on the recruitment process for this programme which will take place on11/06/2025 at 4pm CET (Brussels time).

This will be the opportunity for applicants and professionals to gain more insight into
the steps of the recruitment process and to have the opportunity to ask questions to
Talent Acquisition Service. Some interns and/or former interns will also share their experience of the programme with the audience.

The Executive Management Division (EM) has the lead role in the overall management of NATO Headquarters. The Division provides support to all elements operating at NATO HQ including Human Resources Infrastructure Facilities and Conference Management Information and Knowledge Management Communication and Technology Linguistic Services Corporate Communications and Business Continuity. EM enables NATO HQ to function efficiently in support of the North Atlantic Council its subordinate committees and the NATO International Staff.

EM is organized into three directorates: Human Resources (EMHR) Headquarters Support and Transformation (EMHQST) Information and Communications Technology Management (EMICTM) and the Divisional Support Section (EMDSS).

EM offers internship opportunities in the following services:

1.The Divisional Support Section (EMDSS) provides coordinated advice to ASG on all matters and activities of the Division (including HR budget security IT and space management) and coordinates efforts between EM and other NATO Divisions. The Corporate Communications team is responsible for keeping NATO HQ Occupants uptodate with the latest initiatives policies and events.

2. The Human Resources EM (EMHR) Directorate develops people and organisational policies and initiatives to ensure that NATO attracts engages and leads talent as a key enabler to deliver on NATOs strategic objectives. It is comprised of five pillars: Talent Management & HR Integration; Staff Services (pay and benefits personnel support); HR Policy and Strategy Coordination (IS and NATOwide HR policy); HR Data Analytics and the Medical Service.

3. The Headquarters Support and Transformation (EMHQST) Directorate is responsible for providing a broad variety of daytoday support services for NATO Headquarters its 32 memberNation delegations partner delegations and the International Staff (IS) International Military Staff (IMS) and other occupants of the HQ facilities. It hosts approximately 4500 civilian and military personnel. The EM(HQST) includes the following services:

The Information Communication and Technology Management (EMICTM) provides support in the areas of Information Communication and Technology Management to the North Atlantic Council (NAC) to the NATO Committee structure and its subordinate groups and to the NATO HQ staff. The EM(ICTM) offers internship opportunities in the following services:

How the daily work will look like

Corporate Communications EM(DSS)

The intern interacts daily with a wide variety of stakeholders mainly focusing on amplifying their messages to the wider NATO HQ audience and across the NATO Enterprise. A normal day includes ensuring the maintenance of the corporate communication channels which span from the Digital Signage System to the Newsletters and the SharePoint (Intranet). The intern will also participate in the creation development and implementation of communication strategies including designing and writing content for a variety of products. Creativity will be key in order to develop content that is accurate appealing and engaging so in this role the intern explores different formats from classic products to more digital options. A keen eye for detail a proactive approach and a communication mindset are essential to this position.

Human Resources (EMHR)

The intern in Human Resources could be assigned projects and activities in the various areas of HR and in particular Talent Acquisition Staff Services Talent Development Policy Development and Organisational Design Development and Change Management. The intern will coordinate activities events projects and programmes; contribute to policy development; conduct desk and/or market research and benchmarking studies on best practices. The intern may also work on qualitative or quantitative analysis contributing to datadriven HR decisions.

Infrastructure and Facilities Management EMHQSTIFM)

The Facilities Information Management intern will work with BIM GIS AutoCAD and other IT Systems to support the Operations and Maintenance of NATO Headquarters. The interns responsibilities will include developing and updating BIM models documentation and datasets ensuring the Facility Management systems are fully functional and up to date. The intern will support the team by contributing to the digital transformation in the Facility Management business by identifying opportunities to innovate through the use of new technologies such as IoT and Artificial Intelligence and by harmonizing information management practices in the department.

The Workspace Solutions and Project Management (WSPM) team intern will participate in space planning activities building projects and in particular workspace improvements. The intern will support construction renovation adaptation refurbishment projects as well as operational activities through all project phases. Daily tasks will include communicating with clients and technical teams providing drafting/modelling services oversight of activities on site and producing architectural and technical project documentation (blueprints bills of quantities asbuilt documentation visualizations etc.).

Translation Service (EMHQSTTRA)

The intern will get work experience as part of a large service in an international organization. S/he will have the opportunity to acquire or enhance her/his skills in computerassisted translation tools particularly SDL Studio and MultiTerm as well as Terminotix LogiTerm and dtSearch and to discover the life workings activities topics and jargon of NATO.

Under the guidance of experienced terminologists the interns will mostly work on terminology projects in direct support to translators within the small closeknit Terminology and Documentation Unit. Such projects include terminology record creation text mining answering translators queries and press reviews and touch on a wide variety of subject areas including public diplomacy cyber defence data networks and ICT finance and accounting construction and more.

The intern will contribute to sending information to translators on the terminology and reading resources at her/his disposal via periodic communications. S/he will also have the opportunity to draft the monthly publication of the Translation Service which promotes French language both within and outside the Organization. Depending on the workload the interns may also be given texts to translate from English into French and if so will receive revision feedback and coaching from qualified experienced revisers.

The intern must have advanced proficiency in French and proficiency in English.

Morale and Welfare Activities (MWA) (EMHQSTBCO)

Personal resilience is a continuity solution within Business Continuity; it is key to sustained performance when facing a variety of challenges and hardship. Morale and Welfare Activities (MWA) are intended to enhance personal resilience and make NATO stronger. The intern will support the MWA Officer with the management and supervision of the NATO HQ Staff Centre and applicable programmes and services.

The intern will participate in planning implementing and evaluating MWA communitybuilding events. The intern will support the MWA Officer in stakeholder management including internal communication (websites visuals written content and stakeholder meetings) liaising with other enabling services (facility management security translation) and collecting and analysing customer feedback. The intern will provide administrative support for MWA processes.

The intern will be able to contribute other BCO work strands including Business Continuity Management (BCM) and Health Safety and Environment (HSE). As a member of the BCO team and culture the intern will partake in personal and professional development opportunities that are integral to the BCO ways of working.

Archives and Information Management (EMICTMAIM)

The intern will be involved in Archives Library and Information and Knowledge Management projects. These relate to the management of current historical and published information. The interns working in the Library will be participating in the daily work of the Library including welcoming of visitors managing the collection of digital subscriptions and physical holdings conducting small researchers and assisting with outreach projects such as book talks and exhibitions. The interns working in the Archives will equally be involved in the daily operations of the NATO Archives which include assignments related to the preservation of paper and digital historical information preparing collections for public disclosure assisting with the preparations of the Archives Committees and outreach activities. The latter vary from supporting visitor tours to NATOs Declassified Centre and preparing exhibits on important moments in NATOs history. The interns in Personal Data Protection can expect to be involved in projects related to the implementation of NATOs Personal Data Protection Policy; providing coaching and training to staff and liaising with other NATO entities.

A normal day for all three internships includes contacts with a wide variety of stakeholders ranging from visitors to content producers service providers national delegates of the Archives Committee to military authorities.

Essential:
The candidate must:

  1. be a national of a NATO member state
  2. be at least 21 years old
  3. have at least two years of university level studies OR equivalent education OR be currently a student OR a recent graduate (degree obtained no longer than 12 months ago)
  4. have proficiency in one of the two official NATO languages (English/French).

Desirable:
The following criteria will be considered an advantage:

  1. Bachelors degree or in the final stage of a Masters degree relevant to the requested area of expertise
  2. elementary knowledge of the second official NATO language (English/French)
  3. be an advanced user of IT tools including Microsoft Office SharePoint;
  4. previous experience with other international organizations national administration research or industry.
