Job Description

Administrator & Marketing Assistant

We re an awardwinning architectural practice with a strong UK presence and a global portfolio specialising in thoughtful researchled healthcare design. Our London studio is seeking a proactive and highly organised Administrator & Marketing Assistant to support the smooth running of the office and contribute to marketing efforts that reflect the quality and impact of our work.

What Youll Do

Office Administration

  • Be the first point of contact for the London office: answering calls managing messages and maintaining office supplies.

  • Support internal systems (e.g. timesheets travel arrangements holiday bookings).

  • Assist with project setup invoicing support and compiling internal reports.

  • Coordinate recruitment processes onboarding and occasional HRrelated tasks.

  • Help organise team socials and maintain the studios daytoday operations.

  • Ensure documentation is in line with ISO standards (ISO9001 & ISO14001 and manage annual renewals (CHAS PII Cyber Essentials RIBA Chartered Practice etc..

Marketing & Bids

  • Support bid submissions helping to compile tender documentation using InDesign and MS Word.

  • Maintain marketing collateral (CVs project sheets templates).

  • Assist in producing internal and external newsletters.

  • Manage project portals and help coordinate submissions that showcase our design excellence.

General Duties

  • Adhere to health safety quality and environmental policies.

  • Track time on tasks through weekly timesheets.

About You

  • Organised detailoriented and proactive.

  • Skilled in Microsoft Office (Word Excel PowerPoint).

  • Familiar with Adobe InDesign (or willing to learn quickly).

  • Comfortable working in a dynamic creative studio environment.

  • Confident communicator and team player.
