Job Description Summary
The Facility and Program Manager is responsible for the development implementation and oversight of student educational experiences programs and services offered through Chapman Universitys Campus Center at Rinker. The Facility and Program Manager facilitates students use of the Campus Center at Rinker by promoting the facility coordinating the daytoday operations and maintenance of the public spaces in the facility and ensuring the publci spaces provide an active environment that is continuously evolving congruent with student needs and professional best practices. The Facility and Program Manager also manages the Rinker campus location of Chapmans Panther Pantry. The Facility and Program Manager supervises 20 parttime employees and assists with the general administration of the department as designated by their supervisor. The Facility and Program Manager is a member of the department senior leadership team and contributes to department initiatives and goals as well as those of the Division of Student Affairs. The Facility and Program Manager reports to the Director of Student Engagement.
Responsibilities
Facility management Oversee and ensure a smooth and collaborative operation of the public spaces in the Campus Center at Rinker. Recommend develop and implement policies and procedures to ensure efficient use of public space and resources. Develop and maintain policies and protocols to ensure safe and efficient operations giving attention to the specific and unique purposes of various spaces (dining space event space lounge space gallery space outdoor space technology space etc.). Oversee maintenance needs of public spaces through completion and plan for routine/preventative maintenance to ensure uninterrupted services. Troubleshoot and perform basic maintenance as needed. Ensure the reception desk is fully functioning and staffed during facility operating hours. This may require evening and/or weekend work to coordinate unexpected gaps in staffing. Create and maintain an open positive and welcoming atmosphere for students in all aspects of facility operations. Plan facilityrelated projects as appropriate and in coordination with campus partners and building occupants. Plan and maintain rotating content for Campus Center galleries. Hire train and supervise parttime staff to be effective frontline support staff ensuring safety courtesy care and efficiency in all facility operations. Monitor facilityrelated budgets and expenditures. Identify and recommend new furniture and equipment purchases based on trends in college unions. Coordinate with departmental leadership and other university departments on space use for campus programs and events. Advise other departments and student organizations in the use of public spaces for their event and programming needs. Ensure adherence to established facility departmental and institutional policies procedures and protocols. Ensure collaboration with campus departments including but not limited to Custodial Services Facilities Management and Public Safety to address facilityrelated emergencies ensure staff and guest safety and resolve areas of concern. Coordinate assessment and evaluation of facility to understand and respond to trends in facility use student feedback and student impact. Student satisfaction and retention programming Design develop promote and implement student programming to increase engagement in the Campus Center at Rinker and support school spirit and pride including but not limited to communitybuilding programming entertainment programming and voter registration and turnout efforts. Develop and maintain policies and protocols to ensure safe and efficient implementation of all student programming giving attention to the cleanliness of and care for the facility. Hire train and supervise parttime staff to be effective support staff ensuring safety courtesy care and efficiency during all student programming. Monitor programmingrelated budgets and expenditures. Ensure adherence to established facility departmental and institutional policies procedures and protocols. Coordinate assessment and evaluation of programs to understand and respond to trends student feedback and student impact. Panther Pantry management Oversee daily operations of the Rinker campus Panther Pantry location to ensure the pantry is staffed as publicized stocked according to pantry operating standards and providing a welcoming environment for pantry users. Serve as contact for external inkind donations and oversee regular coordination of supply orders. Ensure pantry operations uphold standards to ensure food safety. Oversee the recruitment training supervision and evaluation of student support staff for pantry operations. Other duties as assigned: Assist with applicable Division of Student Affairs programs and services as requested by the Dean of Students Office and/or as designated by supervisor. Ensure adherence to University Division and Department expectations policies and procedures. Assist with other duties as assigned.
Required Qualifications
Knowledge of student development theory trends and issues in higher education. Prior experience in Student Affairs working with leadership development and supervision of student employees in higher education. Significant experience managing parttime employee work schedules to meet business needs. Significant experience working with student union/campus center operations and implementation of studentoriented communitybuilding programming. Ability to exercise initiative and work independently with superior attention to detail. Ability to plan coordinate and execute logistics for events. Knowledge and understanding of training principles methods techniques and formats. Commitment to enhancing and promoting diversity in higher education. Ability to work with a diverse group of individuals at all organizational levels both inside and outside the University. Demonstrated interpersonal communication and conflict resolution skills. Ability to use tact and diplomacy and to maintain a high level of confidentiality. Good time management skills and the ability to prioritize duties when faced with interruptions distractions and fluctuating workload. Demonstrated problemsolving skills. Ability to evaluate data assess alternatives and make decisions and/or recommendations as required. Analytical skills to assist in evaluating program effectiveness and recommending changes. Ability to use standard office equipment. Skill to prepare basic financial forms and reconcile expenses. Technical ability to learn and use enterprise software. Strong computer skills in the use of word processing spreadsheet presentation database internet and email software. Strong written communication skills with the ability to prepare proofread and edit clear concise and grammatically correct business correspondence and other documents. Strong commitment to teamwork and service to students. Working knowledge of University policies and procedures that pertain to the duties of the position. Bachelors degree or equivalent combination of education and experience. Ability to carry out duties in a timely manner. Ability to carry/lift up to 50lbs to manage Panther Pantry deliveries and inventory.
