Position #22294:Elementary Secretary/Bilingual Required
Posting Dates: 05/12/2025 05/16/2025 (OR until filled)
Location:Amistad Elementary School
Hours:8 hours per day 201 Days per Year


JOB DESCRIPTION


The secretary in this position will greet visitors and substitutes; maintain student records including attendance and enrollment records; maintain staff attendance records; assist with tracking budgets; prepare staff and parent letters newsletters and bulletins; prepare requisitions and work orders using current district programs; supervise students as necessary; care for students in the health room using basic first aid procedures; administer students medicine; and perform other jobrelated duties as assigned for the efficient operation of the school building office. The secretary will need to be able to handle multiple tasks at a time and handle being interrupted while still managing the office responsibilities.

CONDITIONS OF EMPLOYMENT

  1. High school diploma or equivalent.
  2. Must present transcripts of highest level of education within thirty (30) days of hire.
  3. Must pass a basic skills test.
  4. Must be able to perform the essential functions of the position with or without reasonable accommodation.
  5. Bilingual skills required must pass STAMP assesment.
  6. Must be able to meet the Physical Demands of the position.
  7. Completion of Safe Schools Web Based Training within thirty (30) days of hire and yearly thereafter.
  8. Must pass a background check which includes employee paid fingerprinting.

QUALIFICATIONS REQUIRED

  1. Bilingual Required (EnglishSpanish)
  2. Employment history in similar position(s).
  3. Recommendations that confirm dependability flexibility loyalty and selfstarting capabilities.
  4. Must uphold board policies and follow administrative procedures and confidentiality.
  5. Must take all necessary and reasonable precautions to protect students equipment materials and facilities.
  6. Must attend inservice trainings or other meetings as required as well as attend any training as directed by management.
  7. Must possess CPR/First Aid certification or be willing to become certified.
  8. Evidence of ability to assess and correct issues involving safety.
  9. Evidence of ability to establish and maintain a tactful cooperative and effective relationship with students parents staff fellow employees and management.
  10. Evidence of ability to approach assigned work in a professional manner working toward the common goal of teamwork pride in service delivery and continuous improvement.
  11. Must demonstrate sufficient command of the English language to communicate verbally and in writing with students parents district staff members and other concerned people regarding all aspects of their job related activities.
  12. Must be able to use basic computer programs to maintain records enter timecard information and read and respond to email.
  13. Previous experience and/or training operating general office equipment such as: computer copy machine 10 key adding machine and scanning documents.
  14. Knowledge of computer programs such as Word Excel etc. Ability to function within various software programs.
  15. Strong verbal and written communication skills; working knowledge of correct grammar spelling and English usage.
  16. Possess current first aid card or willingness to acquire one.
  17. Must be willing to participate in district training as it becomes available for varied computer programs and other needs.
  18. Belief that all children are capable of success no exceptions.

QUALIFICATIONS PREFERRED

  1. AA degree or equivalent or comparable work experience in a secretarial/clerical office setting.
  2. Successful school office secretarial experience ideally at the elementary level.
  3. Experience working with school district procedures such as student registration orientation and assisting with student bussing needs.
  4. Ability to work with interruptions while balancing daily office responsibilities.
  5. Positive evaluations and recommendations that support character and work ethic.
  6. Excellent attendance punctuality and dependability; evidence of ability to be selfdisciplined and a selfstarter.

JOB RESPONSIBILITIES

  1. Welcome all new families and acquaint them with basic school procedures.
  2. Assist in supervision and control of students as needed in order to promote a safe orderly positive learning environment.
  3. Role model appropriate adult behavior.
  4. Assist substitute teachers and itinerant personnel.
  5. Receive and log telephone traffic in a positive and friendly manner.
  6. Greet and direct all school visitors.
  7. Arrange for care of student injuries and illnesses.
  8. Administer medication and maintain current medical release forms on file.
  9. Maintain files and track accident reports including initiating filling out forms.
  10. Chart and maintain records of all medications administered.
  11. Maintain student records including timely responses to requests for records.
  12. Maintain staff attendance schedule substitutes and prepare payroll reports.
  13. Maintain computerized student attendance records and issue reports to staff.
  14. Assist with tracking budgets.
  15. Prepare staff and parent letters newsletters and bulletins.
  16. Prepare requisitions and work orders using current district programs.
  17. Maintain calendar of events schedule appointments including parent conferences etc.
  18. Supervise students in office area when necessary.
  19. Order and distribute supplies and materials as needed.
  20. Maintain computerized inventory.
  21. Handle all school correspondence.
  22. Perform all duties of the position within the scope of Kennewick School District policies and procedures including regular attendance and punctuality.
  23. Perform other jobrelated tasks as assigned by principal.
  24. Belief that all children are capable of success no exceptions.
