PRIMARY PURPOSE:
Facilitate the efficient operation of the school administrative office and provide clerical services for the schools administrative staff.
QUALIFICATIONS:
Minimum Education/Certification
High school diploma or GED
Special Skills/Knowledge:
Proficient skills in typing word processing file maintenance and financial records
Strong organizational communication telephone and interpersonal skills
Ability to operate a computer and other office/school equipment
Minimum Experience:
One to three years of secretarial experience preferably in a public education environment
MAJOR RESPONSIBILITIES AND DUTIES:
- Assist students teachers parents and visitors as needed.
- Type all written correspondence and property route.
- Promotes positive public relations with all colleagues parents students and community members.
- Maintain proper files to include inventory of school supplies mailing lists student records visitor logs and office communications.
- Receive store issue and inventory supplies and equipment.
- Sort distribute or deliver mail and other documents.
- Prepare necessary campus communications as requested using computer.
- Responsible for a daily teacher attendance log and the records for substitute teachers.
- Schedule meetings appointments and maintain calendar for principal.
- Responsible for monitoring and maintaining records to include time records absentee records special requests accident reports and workmans compensation reports.
- Regular attendance; must be willing and able to report to work at designated site on a regular daily basis according to established work schedule.
- Keep informed of and complies with state district and school policies and regulations concerning primary job functions.
- Responsible for and maintains campus financial records and reports assists with preparation of school budget.
- Supervises office staff.
- Organize and manage routine work activities of the principals office.
- Provide secretarial services to the principal as needed (maintain calendar answer phones for principals office; schedule appointments; serve as recording secretary on committees and in meetings as needed).
- Maintain confidentiality of information.
- Serve as substitute teacher coordinator.
- Complies student attendance reports daily keeps accurate records and prepares reports.
- Processes the registration and scheduling of new students.
- Processes student withdrawals.
- Compiles reports and maintain all PEIMS materials.
- Receives incoming calls takes reliable messages and routes to appropriate staff.
- Performs other duties as assigned by principal.

Personal computer printer copier fax machine and other general office equipment

Mental Demands:
Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress.
Physical Demands/Environmental Factors:
Repetitive hand motions; prolonged use of computer; works with frequent interruptions; occasional in district travel; frequent prolonged and irregular hours.
