The CAMH Queen Street Campus Facilities Planning & Development department is a capital program which supports the transformation of lives for those affected by mental illness.
The Facilities Planning & Development department (FP) plans and executes small to large capital redevelopment projects ($10K to $2M) renovation projects building maintenance and infrastructure upgrades for retained buildings and offsite leases. We are seeking a fulltime permanent Project Managerto support our team. The department also manages two 3rd party FM contracts for five DBFM buildings which require complex coordination of renovations within the DBFM buildings. The Facilities Planning facilitates stakeholder engagement to establish scope/ design in support of clinical care clinical research and clinical education within new/ existing buildings. The FP regularly reports on project status (scope cost schedule risks) to Executive Leadership and the CAMH Board of Trustees. This opportunity will support campus wide capital projects initiatives. Manage all aspects of multiple simultaneous renovation projects including planning procurement construction commissioning and close out. Leverage 3rd party consultants contractors to support scope development document coordination/ quality control cost estimation risk management and project execution. For work in DBFM buildings extra layers of coordination are required beyond the typical project stages. This role will have a direct reporting relationship with the Senior Manager of Facilities Planning & Development. The Project Manager will be responsible for leading and providing handson project management and contract administration during the planning design construction and closeout stages of project assigned. Direct handson project experience during the construction stage is preferred as is technical and contractual knowledge of the planning design and construction stages of projects.
The Project Manager will play a key role on capital projects and will be responsible to provide a significant portion of the handson coordination planning and execution of tasks required to manage the project. The Project Manager will lead and execute project work streams independently and be accountable for the tracking of assigned project documents. The Project Manager will lead the engagement and coordination of a variety of internal and external stakeholders as well as the facilitation of team/stakeholder meetings as required.

Key Accountabilities
- Lead and execute project work streams as assigned by the Senior Manager of Facilities Planning & Development
- Hold accountability for project management and coordination on assigned projects within the Facilities Planning & Development Office Portfolio
- Identify document and provide mitigation strategies for potential project risks and issues of importance and escalate to Senior Manager Facilities Planning & Development when appropriate
- Facilitate all aspects of project team meetings including scheduling development of agenda leading meeting and meeting minutes ensuring followup of action items identified
- Attend and participate in external stakeholder meetings as required to fulfill responsibilities and prepare meeting minutes ensuring followup of action items identified
- Work with and manage onsite contractors design teams and other consultants to manage project risk update risk register and deal proactively with issues that arise
- Updating and maintaining project data bases and other platforms as required
- Assist the Senior Manager Facilities Planning & Development in all areas required for project success
Primary Duties and Responsibilities
- Support technical oversight of the project including mechanical electrical IT structural acoustics etc.
- Develop work plans for project work streams as assigned by the Senior Manager Facilities Planning & Development
- Manage the coordination of contract administration of assigned construction projects including:
- Track document and be accountable for responses to Requests for Information (RFIs) and hospital submittals
- Coordination and issuance of Site Instructions
- Coordination and assistance with change management
- Conduct Site Reviews/Inspections and preparing associated reports including project issues log
- Review and assess progress against construction schedule and compliance with contractual documents
- Review develop and/or deliver reports communications and presentations (in written verbal or graphical form)
- Review of design and construction documents including drawings and technical specifications
- Play an active role in the development and review of purchase orders Request for Qualifications (RFQ) Request for Proposals (RFP) and submit variation enquires (VE) directives (VD) confirmations (VC) for all projects proposed for the DBFM buildings in accordance with FM contracts. Additional layers of collaboration are required for these projects
- Postsecondary education in architecture engineering or a combination of education & experience in a related discipline
- Working knowledge of project schedules budgets technical requirements contract structure and other matters pertaining to project planning and implementation
- 57 years of progressive experience playing a key role in small to large scale complex healthcare infrastructure projects preferably related to P3 projects
- Previous work experience with a general contractor is preferred as is a thorough knowledge of contract management in diverse environments
- Advanced proficiency in Microsoft Office including Word Excel PowerPoint Microsoft Project
- Demonstrated experience with document storage management via MS SharePoint preferred
- Experience with MS Projects or similar software considered an asset
- Experience working with diverse clients and stakeholders

- Able to prioritize and manage competing deadlines
- Attention to detail and the ability to synthesize complex data
- Demonstrated ability to work independently in a selfdirected manner with minimal supervision
- Strong interpersonal and organizational skills
- Excellent oral and written communication skills (e.g. interacting and gathering requirements presentations report writing)
- Strong organization skills; able to receive tasks from supervisor and formulate logical sequence of activities to achieve the task
