Job Description

Summary

The Clinic Manager oversees the clinical services and patient care support staff for the Midwestern University Eye Institute. The Manager ensures excellent customer service and excellent clinical outcomes by supervising the daily operations of the Eye Institute including emergent issues. The Manager ensures a clean environment and compliance to all regulatory expectations of the AZ Department of Health. The position reports to the Director of Clinical Operations.

Essential Duties and Responsibilities

  • Facilitate the staffing and monitoring of the optometry clinic to ensure efficient clinic operations.
  • Maintain and coordinate work schedules and time off for patient care support staff.
  • Write and conduct annual performance reviews of supervised staff.
  • Analyze patient flow and maximize patient experience.
  • Serve as a liaison between the Associate Dean for Clinical Affairs Director of Clinical Operations Director of Patient Accounts Assistant Director of Patient Accounts and the Assistant Manager of Patient Accounts.
  • Support the onboarding of new providers and support staff.
  • Assist in providing clinical orientation training for students.
  • Collaborate with the Assistant Manager of Patient Accounts to ensure smooth checkin and checkout processes completion of appropriate forms patient messaging and successful communication between patient account representatives and the rest of the Eye Institute staff including providers.
  • Monitor clinical inventory and facilitate the ordering and placement of clinical equipment and supplies.
  • Monthly and annual budget review of purchases including reconciling of invoices and statements.
  • Prepare the clinic for efficient operation with a focus on cleanliness and wellorganized equipment and supplies.
  • Become an expert in the creation and management of patient scheduling.
  • Address patient concerns and appropriately document patient communication.
  • Monitor clinic inbaskets and work queues.
  • Become proficient with Epic clinical management and electronic medical record system
  • Act as a liaison between Epic and Acuitas and other software programs.
  • Develop an understanding of basic optometric and ophthalmological medical documentation and have the ability to relay assessment and treatment plans to others.
  • Become wellversed in state and federal regulations as they pertain to the Eye Institute and be prepared for periodic visits by the AZ Department of Health.
  • Develop a thorough understanding of Midwestern University (MWU) and Eye Institute policies and procedures as well as the Eye Institute clinic manual and assist to ensure compliance.
  • Prepare clinical reports and evaluate data to maximize clinic efficiency/profitability.
  • Assist Risk Management with monthly rounds and other associated tasks.
  • Assist with monitoring quality assurance guidelines and arrange for implementation.
  • Participate in quality improvement customer service and marketing initiatives.
  • Facilitate the ongoing maintenance of equipment including safety inspections as needed.
  • Monitor clinical and patient safety protocols including compliance with OSHA regulations i.e. check expiration dates on all materials supplies readiness of safety equipment.
  • Work with the Associate Dean of Clinical Affairs the Assistant Director Clinical Rotations and the Director of Clinic Operations to maximize the learning opportunities for the students in the Eye Institute.
  • Oversee the optical and work closely with optical staff to achieve financial goals highquality customer service and education of the students.
  • Facilitate and monitor staff trainings
  • Serve as a primary driver of a clinic culture that emphasizes professionalism customer service excellence in communication and team work.
  • Other duties as assigned

Supervisory Responsibilities

The position is responsible for the indirect supervision of all Optometry staff members within the Eye Institute. Directly supervises optical staff patient referral coordinator and the ophthalmic medical technician.

Qualifications

The ability to work independently learn detailed procedures identify problems develop corrective strategies and familiarity with the clinic management system Epic is essential.

Education and/or Experience

A minimum of an Associates degree is required Bachelors degree preferred. Must have at least 35 years of supervisory experience in a clinic setting preferably in an optometry or ophthalmology office with at least 710 years of experience in a clinical setting. Must have strong knowledge of OSHA and HIPAA compliance. Understanding of regulatory requirements. Must have experience with accurate clinical documentation assisting in EMR training and generating reports for audits or quality initiatives. A history working with clinical and operational teams including providers technicians schedules and leadership is required. Knowledge of eye and medical billing is highly desired. Strong interpersonal skills problemsolving abilities and excellent analytical skills are necessary to succeed in this role.

Computer Skills

Computer proficiency in MS Office (Word Excel Outlook). Proficiency with the Epic clinic management system.

Language Skills

High skills: Ability to read analyze and interpret general business periodicals professional journals technical procedures or governmental regulations. Ability to write reports business correspondence and procedure manuals. Ability to effectively present information to top management and boards of directors.
