OBJECTIVES:
Under general supervision the Development Services Coordinator provides support for the Citys internal development review system. The Coordinator reports directly to the Director of Development Services but will work collaboratively across City departments to ensure the review process is as efficient and predictable as possible. In addition the Coordinator will provide administrative support to the Director and Development Services Department. Work is performed under moderate supervision with latitude for the exercise of initiative and independent judgment and action to achieve and promote the citys goals.

GENERAL STATEMENT OF DUTIES:
The Development Services Coordinator coordinates the Citys building planning and development review process and provides support for daily departmental operations. Duties are varied and diverse. Some will be repetitive and others will be unique but in most cases the work will be as directed or selfexplanatory. Specific duties include but are not limited to:
Coordinating and monitoring the citys development review process by tracking the status and progress of all planning building permit and other development related applications submitted to the Development Services Department and establishing systems and measures to ensure work is handled in a timely and proficient manner and deadlines are met;
Overseeing the development maintenance and streamlining of the Departments paper and electronic filing systems and coordinating those systems both internally and with various other departments;
Ensuring planning building permit and other development related applications are forwarded to the appropriate staff for review and coordinating and routing the city review comments to the applicant for correction.
Reviewing planning building permit and other development related applications and supporting documentation submitted to the City to determine application completeness in accordance with local and state requirements composing and sending a list of deficiencies to the applicant for incomplete applications and providing notification to the applicant when the application is deemed complete.
Preparing technical reports such as weekly monthly and annual reports calculating and compiling statistics and data; establishing clear and measurable metrics;
Serves as the primary point of contact for all development applications from the inception to closeout
Attends predevelopment meetings as assigned.
Providing backup support to the Permit Technician including answering incoming telephone calls intaking application submittals performing cashier duties issuing permits scheduling meetings mailing public notices preparing and publishing public meeting packets and taking minutes.
Creating and updating all planning building permit and other development related applications forms and checklists ensuring code revisions are reflected and website versions are uptodate;
Providing citizens landowners developers public officials city staff and the general public with assistance and information regarding the Citys development processes;
Communicating with the director regarding the status of development related applications as well as assigned special projects;
Assisting in the maintenance and update of the Development Services Departments sections of the citys website;
Providing accounting related assistance including tracking of the departments budget submitting invoices purchase orders and check requests to accounts payable and assisting with development of the departments annual budget submittal;
Working closely with building inspections planning and code enforcement personnel for compliance with established regulations;
Providing administrative expertise and support to the Department with a positive attitude and teamwork orientated work ethic;
Utilizing a variety of computer software and programs including the Microsoft Office Suite (Word Excel Outlook PowerPoint) Adobe Acrobat ArcGIS and online programs to compose and produce letters memos maps and reports and conduct daily activities and tasks.
Serving as the primary contact for MyGovernment Online (MGO) the citys development review program regarding updates issues and requests and providing training and assistance for the programs to employees and applicants;
Preparing letters responding to requests for zoning verification and legal lot status;
Researching and compiling information on a variety of issues for special projects;
Assisting in the development of administrative or technical assistance policies or procedures and proactively identifying obstacles and developing solutions;
Preparing graphs charts tables spreadsheets maps and other graphic material as assigned; preparing layouts for printing and production of pamphlets brochures manuals information packets and newsletters; and developing presentations for city staff and public meetings;
Reviewing completeness of project files and documents for final closure;
Occasionally assisting with minor permit reviews for compliance with City building codes;
Performs advanced professional work related to a variety of planning assignments;
Processing Public Information Requests
Coordinating of department and interdepartmental meetings and events
Performing basic mapping and Geographic Information System (GIS) functions as assigned;
Accomplishing teamwork by working cohesively with all City staff and working as an integral member of the Development Services Department;
Performing other related duties as may be assigned or required.
PHYSICAL AND ENVIRONMENTAL CONDITIONS:
The Development Services Coordinator must be able to lift and carry up to 20 pounds and to pull push or drag up to 50 pounds of materials and supplies. The Development Services Coordinator is required to stand and sit for extended periods of time in the performance of duties. The Development Services Coordinator must use eyes ears hands and fingers to perform assigned duties and responsibilities. The job of the Development Review Coordinator is performed mainly indoors in a climatecontrolled environment.
REQUIRED KNOWLEDGE SKILLS ABILITIES AND TRAINING:
Administrative positions may require specific training or experience that is relevant to the department assigned and tasks required. Generally these employees must have the ability to perform detailed work with speed and accuracy; the ability to efficiently operate modern office equipment and software; the ability to type accurately at a speed of at least 40 words per minute; the ability to understand technical and legal terminology; the ability to interact in a positive manner with the public and coworkers; the ability to prepare records in a systematic neat and legible manner; the ability to gather relevant information to determine customers needs; and the ability to maintain confidentiality.
In addition to these requirements the position requires the ability to perform under stress with strict deadlines and frequent interruptions; the ability to maintain composure while interacting with dissatisfied or hostile customers; the ability to communicate effectively both orally and in writing to explain rules and procedures clearly to the public; the ability to perform basic mathematical calculations; the ability to read and interpret plans; the ability to work independently yet collaboratively in a fastpaced team environment; and the ability to work on several tasks or issues simultaneously while managing competing deadlines. Knowledge of planning and construction terminology preferred. Must have the ability to work some evenings weekends and overtime as required. May be required to perform a Customer Service and Microsoft Office examination during selection process. Working knowledge of MyGovernment Online (MGO).
EDUCATION WORK EXPERIENCE CERTIFICATIONS AND LICENSES REQUIRED:
High School Diploma or GED equivalent.
Five (5) years of comprehensive administrative clerical or office management experience. Equivalent combination of work experience and education or training qualifies.
International Code Council (ICC) Permit Technician Certification.
International Code Council (ICC) Code Specialist Certification or the ability to attain within one (1) year of date of hire preferred.
Experience with municipal development review and permitting processes including electronic plan review.
Experience coordinating and/or implementing projects or processes involving multiple staff applicants and/or oversight bodies preferred.
A valid Texas drivers license.
Texas Notary Public or the ability to attain within 6 months of date of hire.
Must be bondable.
