The Division of Transportation Planning & Management (TPM) is responsible for the safe efficient and environmentally responsible movement of people and goods on the Citys streets supporting the larger goals of economic and social vitality for people living working and doing business in New York City. The Divisions responsibilities include planning street design technical analysis signs transit development freight mobility and markings ensuring the safety of motor vehicle occupants pedestrians and cyclists and for developing and implementing a wide range of projects that further safety efficiency and sustainability goals.
The Strategic Planning Unit focuses on regional planning accessibility equity and data management. TPM is seeking an administrative support specialist to assist the Director to smoothly execute its core functions. Reporting to the Director of Strategic Planning the support specialist will track invoices manage contracts budgets and procurement processes. This role also provides essential support to the Director and three Deputy Directors facilitating seamless coordination across the unit.
Key Responsibilities:
Oversee vendor invoice tracking and processing ensuring compliance with policies and deadlines.
Develop and maintain an internal invoice tracking system and generate reports for budgetary reviews.
Support contract management procurement tracking personnel processes and budget reconciliation.
Coordinate calendars schedule meetings and prepare agendas to assist the Director and Deputy Directors.
Produce proofread format and edit reports spreadsheets and presentations.
Respond promptly to inquiries and complaints through ARTS and other platforms.
Organize and maintain physical and digital files for efficient recordkeeping.
Perform other administrative tasks as assigned to ensure smooth daytoday operations including coordinating the Units input into the Divisions Biweekly Reports.
Preferred Skills
The ideal candidate will demonstrate proficiency in financial and procurement systems such as PASSPort and familiarity with ARTS or similar tracking systems. Strong analytical skills for budget tracking and report preparation along with experience in contract management and procurement processes are essential. Advanced expertise in Microsoft Office Suite exceptional organizational and timemanagement abilities and attention to detail are crucial for success in this role. Additionally the candidate should possess excellent interpersonal and written communication skills to collaborate effectively with stakeholders and handle confidential information with professionalism and discretion.

Qualifications :
1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to 1 or 2 above. However all candidates must have at least one year of experience as described in 1 above.
