Job Description

Position Title: Finance & Human Resources Coordinator (fulltime)

Immediate Supervisor: Head of Administration (HoA)

Status: Fulltime Administrative Position (12 months)

Classification: Exempt

About the School

The German International School Chicago (GISC) is a private nonprofit bilingual IB World School authorized by the International Baccalaureate Organization and accredited by the Independent Schools Association of the Central States (ISACS). GISC opened its doors in 2009 and is offering classes for students from Preschool through Grade 8. As of October 2024 GISC is officially recognized as a German School Abroad (Deutsche Auslandsschule DAS).

Overview

GISC is seeking a highly organized and detailoriented professional to join the team as a Finance & HR Coordinator. In this dual role you will be responsible for managing GISCs financial records and supporting key HR functions. This position requires excellent multitasking skills a strong commitment to confidentiality and the ability to balance administrative and financial tasks effectively.

Essential Job Functions Finance Coordinator

  • Responsible for recording daytoday financial transactions and maintaining digital records of all financial transactions in compliance with school policies as well as local state and federal requirements.
  • Prepare and email student invoices (and credit memos if necessary) according to the appropriate payment plan as outlined in the enrollment contracts.
  • Maintain an accurate student billing list (enrollment withdrawals midyear additions etc.) and assist with revenue projections.
  • Process and track all incoming payments and bank deposits.
  • Monitor cash flow accounts AR (accounts receivable) and communicate with delinquent account holders.
  • Manage relationships with vendors and service providers ensuring that all items are invoiced and paid on time (accounts payable).
  • Prepare monthend closing processes and reconciliations and monthly financial reports for Board Meetings.
  • Assist in schoolwide budgetary planning and regular monitoring of departmental budgets and forecasts.
  • Work closely with GISCs Financial Assistance Committee and oversee disbursement of financial aid.
  • Participate in annual audits.
  • Perform duties as assigned by HoA or Head of School (HoS).

Essential Job Functions HR Coordinator

  • Assist with recruitment onboarding and employee orientation.
  • Maintain employee records payroll data and employment records.
  • Ensure adherence to labor laws and school policies.
  • Support payroll processing and benefits administration.
  • Address employee inquiries and resolve HRrelated issues.
  • Perform duties as assigned by HoA or HoS.

Specific Qualifications/Skills

  • Bachelors degree or equivalent level of degree or experience
  • Excellent verbal and written communication skills in English and German (bilingual GermanEnglish preferred)
  • Ability to handle sensitive information with professionalism and confidentiality
  • Strong attention to detail
  • Excellent organizational and time management skills as well as ability to prioritize and multitask
  • Ability to work both independently and as part of a team
  • Dependability reliability and willingness to pitch in to get things done
  • Proficiency in MS Office programs
  • Experience with accounting software systems preferred

Work Environment Physical Requirements

This position operates in an office environment that is accessible. Some work at offsite locations may be required and those may not necessarily be fully accessible. This role routinely uses standard office equipment such as computers phones photocopiers scanners and filing cabinets. While performing the duties of this job the employee is regularly required to talk and hear. The employee frequently is required to stand walk use hands to finger handle or feel and reach with hands and arms. The employee must frequently lift and/or move objects up to 20 pounds and occasionally lift and/or move objects up to 30 pounds. This position requires attendance from 8:00am to 4:30pm Monday through Friday office hours. This workplace is a smoke and drugfree environment.
