Madison College is seeking a Senior Administrative Coordinator to support the School of Human & Protective Services. This administrative role provides valuable student interaction through basic academic advising and by connecting students with the appropriate campus services and resources. The coordinator also plays an important part in supporting both the Early Childhood Education and Human Services programsassisting with class scheduling scholarship processes and various programspecific tasks. Event coordination is also a key responsibility with the goal of fostering student engagement and success. The role involves frequent collaboration with other departments such as Advising the Writing Center the Foundation and Career and Employment Services contributing to a supportive interconnected campus environment.
The position reports to the Manager in the School of Human and Protective Services.
Position Details: This is a fulltime hourly position offering a comprehensive benefits package including health vision dental and life insurance along with participation in the Wisconsin Retirement System (WRS). The typical work schedule is Monday through Friday 7:30 a.m. to 4:00 p.m. with some flexibility. The position is based primarily at our Truax Campus with regular work at the Goodman South Campus on Tuesdays and the option for one remote workday per week. Occasional evening hours may be required for events.

Essential Responsibilities:
Coordinates logistics for meetings events and trainings including scheduling communication materials preparation and onsite or virtual support to ensure smooth and efficient operations and engagement opportunities for students and stakeholders.
Assists with course setup scheduling and enrollmentrelated processes by entering data managing class logistics and updating information to support academic and noncredit offerings.
Prepares reviews and maintains a variety of reports records and data using college systems and tools to support operational accuracy and reporting needs.
Partners with internal stakeholders to deliver positive supportive and inclusive experiences to HPS students. Collaborates with student support services to support recruitment and retention efforts and leads tours.
Provides administrative support for department operations including calendar coordination purchasing travel arrangements supply ordering and document preparation to facilitate daytoday functionality. May support onboarding and offboarding processes for faculty staff and student employees.
Provides customer service and frontline support to students faculty staff and external partners by answering inquiries resolving issues and referring questions as appropriate.
Coordinates purchasing and budgetrelated tasks such as tracking expenses reconciling transactions managing pcards and supporting grant or contract compliance to maintain financial accuracy.
Exercises independent judgment to solve routine problems prioritize tasks and improve administrative processes to enhance efficiency and support unit goals.
Contributes to an inclusive equitable and supportive environment where everyone at the institution feels valued respected and empowered to reach their full potential.
Knowledge Skills & Abilities:
Excellent written and verbal communication skills with a professional and collaborative approach.
Proven ability to work effectively with individuals from diverse cultural socioeconomic and ability backgrounds.
Strong interpersonal skills; able to interact tactfully with staff students and the public while maintaining positive working relationships.
Demonstrated proficiency with Microsoft Office Suite (Word Excel PowerPoint) and ability to quickly learn other tools and technology such as Adobe Acrobat Drupal Blackboard and Workday.
Highly organized with strong attention to detail; able to compile and analyze data manage information and prepare reports.
Able to manage multiple priorities adapt to changing needs and handle unexpected challenges in a fastpaced environment.
Takes initiative and exercises sound judgment while working independently or as part of a team.
Strong problemsolving skills with the ability to troubleshoot issues and develop practical collaborative solutions.
Minimum Requirements:
Associate Degree (or equivalent additional work experience).

Three (3) years of work experience directly related to the skills required for successfully performing the duties of this position.
While not a requirement bilingual in English and Spanish is a plus.
