Scanning and Digitization:
Converting physical documents (e.g. repair orders invoices contracts) into digital formats using specialized scanners and software.
Indexing and Organization:
Assigning appropriate metadata (keywords tags) to scanned documents for easy retrieval and search.
Quality Control:
Ensuring the scanned images are clear legible and properly formatted.
Data Entry:
Entering key information from the scanned documents into relevant databases or systems.
File Management:
Maintaining organized filing systems for both physical and digital documents.
Document Security:
Ensuring that all scanned documents are stored securely and accessed by authorized personnel only.
Compliance:
Adhering to relevant regulations and procedures for document retention and storage.
Skills and Qualifications:
Scanning Experience:Proficiency in operating various scanning equipment and software.
Attention to Detail:Accuracy in data entry and indexing.
Organization Skills:Ability to manage large volumes of documents and maintain an organized filing system.
