Job Title: Administrative Assistant IIIVocational
Wage/Hour Status: Nonexempt
Pay Group: P20 Salary Plan
Primary Purpose: To assist the Department Administrator in the day to day operations of the Career and Technology Education (CTE) vocational department.
Qualifications:
Education/Certification:
High school diploma from an accredited high school or hold GED.
Three years of fulltime wageearning experience in general clerical/secretarial duties.
Must type 45 net words per minute with no more than ten errors on the appropriate Texas Workforce Commission or TDCJ typing test required.
Special Knowledge/Skills:
Excellent oral and written communication skills.
Skill to interpret and apply rules policies and procedures.
Knowledge of agency and departmental policies.
Ability to organize and maintain correspondence and files.
Major Responsibilities and Duties:
1. Prepare forms authorizing insertion of student educational achievements into permanent records and maintain confidentiality of information.
2. Type correspondence including memos letters forms and reports as needed.
3. Assist departmental administrator with various assignments and special projects as needed.
4. Compile information and prepare miscellaneous monthly reports as required.
5. Audit records correspondence and reports for accuracy and completeness.
6. Compile information and prepare bimonthly and annual reports for assigned units.
7. Prepare equipment requisitionsPerkins and CTE as well as textbooks.
8. Prepare budget amendments.
9. Submit invoices to Business Services.
10. Prepare Department travel and payment vouchers.
11. Work with certifying agencies (TEEX/OSHA/TNLA/NCCER etc.) to order test booklets instructional materials and certifications.
12. Maintain inventory of office supplies equipment and execute district wide property transfers.
13. Review offender correspondence and compose responses to offender requests.
14. Receive incoming calls take reliable messages and route to appropriate staff.

15. Maintain confidentiality in handling sensitive information received in the performance of the job duties.
16. Perform duties in a professional manner through daily punctual attendance at location of work assignment.
17. Follow Windham School District policies and procedures in completing assigned job duties.
18. Execute duties in a professional ethical and responsible manner as defined in 19 TAC Chapter 247 Code of Ethics and Standard Practices for Texas Educators.
