Job Description

We are hiring a Project Assistant with 3 5 years of experience to join our Allen Texas office. The position is offered as part time (2030 hours/week) or full time contingent upon experience and skill set. You will contribute to the firms success by:

  • Performing general administrative and office management tasks including equipment rentals supply orders fleet tracking coordinating meetings lunches seminars travel and conference logistical arrangements attendance controls and related followups
  • Assisting Allen and Fort Worth Office staff with project setup organization of project information document formatting invoicing and project billing
  • Creating and maintaining desktop publishing documents tables and spreadsheets. Includes imbedding and the manipulation of pictures maps and various other images into technical reports using computer software
  • Production of deliverable reports for submittal to clients or regulators including formatting PDF compilation hardcopy printing preparation of associated digital media (e.g. CDs/DVDs flash drives) and shipping or delivery
  • Producing standard basic proposals including generation of letters and fees using the company internal Style Guide
  • Collaborating with senior technical director to update and maintain informational Sharepoint and Teams Site (including metadata)
  • Verifying and inputting information from various sources into a variety of software systems including updating and maintenance of said information for use in proposals and reports
  • Creating and maintaining spreadsheets documents or tables to track usage purchase orders and other statistical items as directed by supervisor
  • Providing assistance in organizing various internal initiatives related to safety quality and training
  • Preparing and maintaining various presentations forms signs or flyers and other statistical reports as requested by supervisor or staff
  • Providing information to outside callers clients prospects and internal employees

Required Experience:

  • 3 years of experience with a focus on project and office administration
  • Associate degree required; bachelors degree preferred
  • Experience with Microsoft Office Suite especially Excel Word and Sharepoint/Teams
  • Experience using Adobe Acrobat to organize and compile PDFs

  • Highly organized with a demonstrated ability to prioritize multiple tasks efficiently and simultaneously with minimal supervision
  • Strong communication skills with local and nonlocal staff
  • Strong administrative skills in addition to possessing skills using various software systems (MS Office Suite and Adobe Acrobat)
  • Highly skilled user of Microsoft Sharepoint/Teams including management of internal company Sharepoint sites
  • Perform typing data entry and computer applications with a high degree of accuracy and efficiency
  • Experience with database management
  • Must possess or be able to acquire a thorough knowledge of departmental and company policies and procedures and be able to work independently with general direction
  • Execute good customer service skills with the ability to communicate effectively verbally (e.g. in person or telephone) and written (e.g. email).
